Position Summary/Purpose of Position:
The Program Administrative Specialist is a vital link in the day to day operations of the department serving as the liaison between the Executive Director and various administrators on campus. The position will support the Executive Director and serves as the assistant to Executive Director. The Program Admin Spec supports program staff by collaborates with 3 other administrative staff members to provide administrative support for 6 programs (Talent Search North, Talent Search Central, EOC, SSS, McNair, and IED) in Academic Achievement Programs.
The Program Administrative Specialist primarily serves as the individual who tracks, records, and handles the preliminary work associated with fiscal and personnel matters within the department. This information is then utilized by the Assistant Director for Finance & Administration and the Executive Director. In addition to fiscal and personnel matters, the incumbent drafts, edits and screens correspondence and prepares documents for the Executive Director’s signature.
Duties will include, but not limited to; creating PHR appointments, purchasing/travel and purchase/travel card responsibilities, serves as department transportation and facilities mgmt representative. Is responsible for preparing and distributing meeting minutes and reports. Manages departments listservs and distributes announcements of department events. tasks performed are critical and needed to analyze, maintain, and oversee the business aspects of Academic Achievement Programs.
Minimum Qualifications:
Education:
Bachelor’s Degree.
Experience:
Four years experience in administrative staff work.
Required Knowledge, Skills, and Abilities:
  • Working knowledge of reference and research methods and techniques used in collecting, compiling, and organizing data and information, working knowledge of analytical and statistical principles and techniques. 
  • Skill in the use of office automation software and its applications, ability to establish and maintain effective working relationships, to handle sensitive materials with discretion and tact, to present ideas and information clearly and concisely, both orally and in writing; to perform mathematical computations; to present statistical material in chart and graph form. Ability to independently handle multiple tasks and set priorities.

Other:
Except for qualifications established by law, additional related experience and formal education in which one has gained the knowledge, skills, and abilities required for full performance of the work of the job class may be substituted for the education or experience requirement on a year-for-year basis with 30 college credits being equivalent to one year of experience.

This is a primarily a sedentary position with the physical demands found in an office environment involving extensive use of desktop computers.
