Position Summary/Purpose of Position:
The Center for Advanced Transportation Technology (CATT), a research center established in 1998 within the Civil Engineering Department and part of the A. James Clark School of Engineering is looking to hire a Procurement & Travel Coordinator to prepare and process department transactions to include:
  • Manages and processes Travel requests and Expense statements for students, visitors, coordinates and/or prepare employee travel requests/expense statements and review requests/expenses;
  • Submits requests for reimbursement from the Foundation for department activities and employee expenses;
  • Use & Maintain a University issued Purchase Card (pcard) and Travel Card (tcard) including reconciliation and documentation as per University policies;
  • Book and arrange itineraries and logistics (lodging, ground transportation, airfare, etc) for student, visitor, event and group travel;
  • Ensure funds are available in accounts for travel and purchase requests;
  • Manage and process purchase reimbursement requests for employees and non-employees;
  • Collect required receipts and documentation for all reimbursements. Use good decision-making skills to ensure costs are in compliance with university regulations;
  • Secure goods and services for the Center through the use of University credit cards, purchase orders, and contracts;
  • Manage and coordinate CATT events. Find on and off campus venues for events, organize logistics and catering for events;
  • Use decision-making skills to ensure adequate documentation is provided for all requests, and be proactive in getting additional information if it is needed;
  • Collects and deposits program revenue for CATT programs;
  • Encumber travel and other expenditure transactions;
  • Order and pick up materials, keys, and paperwork from other campus administrative offices or suppliers when needed;
  • Maintain p-card files for the unit (hard copy and electronic).

Minimum Qualifications:
Education:
  • Bachelor’s Degree, or equivalent combination of education and experience.
  • In lieu of a Bachelor’s Degree, an Associate’s Degree with 2 years, or a High School Diploma/GED with 3 years, of administrative support experience, is required.


Experience:

  • At least 2 years of professional experience in an education setting, with at least 1 year in procurement, travel, or related work.

Knowledge, Skills, and Abilities:
  • Well-organized, highly motivated, can keep multiple projects and responsibilities current, ability to multi-task in a fast-paced environment, and strong critical thinking skills (especially in situations where no clear precedent exists);
  • Demonstrated attention to detail, independent thought, and proactive work style;
  • Strong written and verbal communication skills;
  • Proficiency with MS Office Suite.

  • Previous experience finding backing documentation for expenditure;
  • Previous upward progression in previous positions (promotions, additional higher level responsibilities, etc.);
  • Previous experience tracking progress for tasks;
  • Proficiency with Campus systems for finance, travel, and purchasing systems.

Physical Demands

  • Close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading.
  • Must be able to transverse the campus to attend meetings and drop off or pick up items from other entities on campus.
  • Frequently communicates with faculty, staff and students who have inquiries at the front office desk. Must be able to exchange accurate information in these situations.
  • Occasional travel required for conferences, events, and meetings.
