Posting Summary
Rutgers, The State University of New Jersey, is seeking a Help Desk & Training Supervisor/Manager for University Procurement Services. This position reports to the Director of University Finance and Administration / Procurement Services Director.
Among the key duties of this position are the following:
  • Manages all aspects of the Procurement Help Desk function, including ticket resolution, reporting, and internal communication for enhancements.
  • Serves as the lead for the support and enhancement of the ServiceNow Help Desk ticketing system.
  • Supervises training functions, including training strategy, planning, classes, material development, and learning platforms primarily for all aspects of University Procurement Services and also supports training functions as assigned for other subject matters in University Finance and Administration.
  • Leads training to the user community on University Procurement Services policies, procedures, and core systems including (Jaggaer, PaymentWorks, and Oracle) and supports training for other areas across UFA as assigned.
  • Leads the maintenance and development of new training material.
  • Manages the Help Desk and Training Team to establish goals and objectives and the performance evaluation, for employees.
  • Supports department and University Finance and Administration projects that involve training.
  • Establishes the service level agreement with the user community on the turn-around time on Help Desk ticket resolution.
  • Makes recommendations on process improvements based on recurring problems and patterns identified by the user community and external suppliers.
  • Collaborates with teams across UFA to stay current with system information, changes, and updates.
  • Completes other tasks and duties as assigned, consistent with a basic understanding of the mission, vision, and goal of University Finance and Administration.

Qualifications


Minimum Education and Experience
  • A bachelor’s degree preferably in Business, Finance, Supply Chain, Information Technology, or a related field; or an equivalent combination of education and/or experience, preferably in Procurement, Account Payable, Supply Chain, Finance, or related fields.
  • A minimum of two years of relevant professional experience, excellent communication skills, and computer literacy.
Certifications/Licenses
Required Knowledge, Skills, and Abilities
  • Strong understanding of purchasing, expense, and payables processes, policies, and systems.
  • Strong analytical skills to troubleshoot technical and user errors – system, process, data, and interface.
  • Strong training experience, people, and presentation skills in both technical and functional.
  • Ability to operate within the Microsoft Office software suite.
  • Effective communication skills both verbal and written.
  • Ability to work in a team environment.
Preferred Qualifications
  • Experience in a university environment.
  • Experience working in a training and help desk environment.
  • Experience in developing and executing training strategies, programs, classes, and materials.
  • Experience in providing support and help to internal and external inquiries and issue resolution.
  • 3 years of experience working in a team environment.
  • 3 years of strong organizational, planning, and analytical skills with strong attention to detail.
  • Excellent written, verbal, and interpersonal communication skills.
