Work Flexibility: This position is expected to be in person for the first 90 days and then it will be transitioning to hybrid according to the level of training and demands of the position.
ORGANIZATIONAL SUMMARY:
The Department of Engineering Research consist of 2 Sr. Unit Research Administrators and 1 Unit Research Administrator. This department serve as the primary liaison between the faculty Principal Investigators, Sponsored Research, and Research Financial Management on the development, review and submission of grants and contracts submissions.
POSITION SUMMARY:
The Pre-award Unit Research Administrator (URA) is a member of the Engineering Research Pre-award team and will be responsible for the pre-award activities at USF College of Engineering. The individual in this position will communicate closely with various funding agencies externally, and academic units and faculty internally to develop sponsored research of the University. Reporting to the Dean of Research, the Pre-Award Senior Unit Research Administrator provides specialized support for activities related to the full life-cycle of sponsored program administration with particular emphasis on the pre-award functions. Position provides direct support to Principal Investigators seeking funding through a variety of federal agencies and non-federal organizations. Areas of responsibility include proactive identification of funding sources, proposal development, routing, and submission.

RESPONSIBILITIES:
Involved with budget review as well as preparation, related documentation and sponsor forms. Contacts and collaborates with partner institutions to secure all necessary subcontract documentation. Assists with uploading materials to electronic proposal packages. Coordinates proposal review with central sponsored research office. Assists with corrections and modifications prior to proposal submission. Sign off documentations as approval in the pre-award administration and seek appropriate internal approvals when necessary. Maintains funding opportunity databases and track pending awards; track deadlines to ensure proposals are submitted on time; track when grantees need to submit renewals, and prepare grant reports as needed.
Reviews sponsor guidelines and identifies key requirements. Assures all regulatory requirements and export control issues are identified. Facilitates cost share approvals, academic approvals, and other institutional approvals as needed
Acts as liaison to central offices across USF campus. Stays current on university and sponsor policies and procedures. Provides policy guidance and assistance with all aspects of proposal development, administrative forms, sponsor-required certifications and representations, and compliance requirements. Provides tools for electronic submissions of proposals.
Identifies sources of funding for the conduct of research and/or service programs. Assists faculty with preparation of letters of intent, preliminary proposals, grant and contract proposals, and supplements. Provides technical assistance and guidance to facilitate the development, administrative review, and funding process for faculty. Collaborates with internal and external stakeholders on grant applications.
Advise on non-financial post-award matters. Examples include re-budgeting requests, no- cost extensions, and interpretation of award term and conditions. Helps new college faculty with grants transfers.
Perform other duties as assigned.
POSITION QUALIFICATIONS:
MINIMUM:
This position requires a Bachelor's degree and 1 year of professional administrative experience; or a Master's degree. Progressively responsible related experience may substitute for the required education on a year for year basis.

Degree Equivalency Clause: Four years of direct experience for a bachelor's degree
PREFERRED:
Prefer 1+ years of experience with budgets and administration in a university, office, private foundation, or research setting. Familiarity with electronic applications such as Grants.gov, Research.gov, and Fastlane. Must be proficient in M.S. Excel, Word, and Adobe Acrobat. Must be flexible and capable of working on multiple projects in a fast-paced, deadline-oriented environment.
