Position Summary:
 
The mission of the UCI School of Physical Sciences is to uncover fundamental truths and to provide transformative discoveries that improve the world. After assessing work productivity throughout the six-month probationary period along with satisfactory progress and supervisor approval, the incumbent may request a hybrid/remote schedule that fits within the department’s business needs.

 


The Personnel Analyst in the Department of Mathematics in the School of Physical Sciences provides the primary analytical and administrative foundation in all matters related to academic and staff personnel and payroll management for the department. This position is a human resources professional that uses organizational policies and procedures to provide guidance to supervisors and managers to resolve a variety of human resources issues of moderate scope and complexity. This position is responsible for department academic and staff personnel administration, and assisting with the annual review processes, and the recruitment, selection, and appointment of academic and staff personnel. The Personnel Analyst advises the Department Chair and Department Administrator in administrative matters including confidential departmental matters, provides administrative analysis related to academic and staff personnel management. Has independent responsibility relating to non-citizen immigration procedures and applications for temporary visas, H-1b, and permanent resident applications. Interprets policy and develops/implements procedures to ensure compliance and support effective and efficient personnel operations. Serves as primary department contact and expert in UCPath transactions and is responsible for developing efficient business practices around supporting documents, entries, tracking, and transactions. Effectively works with the Physical Sciences Dean’s Office, Academic Personnel, International Center, Human Resources, and Payroll Office for resolution of a variety of complex personnel issues. Maintains statistical data and files, personnel and payroll records.

The expected pay range for this recruitment is $29.26 - $34.77 (Hourly Rate). The Full Salary Range for the salary grade this position is assigned to is $29.26 - $51.29 (Hourly Rate).

Required:
 
  • 1-5 years of experience in Human Resources or personnel administration, or an equivalent combination of education and experience.
  • Bachelor's degree in related area and / or equivalent experience / training.
  • Analytical skills to conduct analysis and develop recommendations; demonstrated organizational skills and problem-solving skills. 
  • Working knowledge of other areas of HR and Academic Personnel. 
  • Ability to work independently; with appropriate initiative, resourcefulness and leadership abilities. 
  • Impeccable attention to detail, ability to proof read and edit one’s own and other’s work to produce error free documents. 
  • Ability to work towards long- and short-term goals; maintaining and tracking progress through completion and follow-up. 
  • Experience with conducting detailed analysis and providing feedback and recommendation communications to department staff and unit management. 
  • Demonstrated organization, problem solving, and communication skills. 
  • Proficient in communicating clearly and effectively verbally and in writing and in integrating information in the completion of assignments. 
  • Demonstrated ability to quickly learn and adapt to verbal instructions and concepts. 
  • Demonstrated strong interpersonal skills to interact effectively with campus administrators, faculty, staff, and students from a variety of ethnic, social, and educational backgrounds and to provide information, identify problems, and develop solutions. 
  • Demonstrated skill to assess priorities in order to complete work in a timely manner in an environment of deadline constraints, competing priorities, and heavy and changing workload. Demonstrated ability to handle difficult or volatile situations / individuals effectively. 
  • Demonstrated experience working with confidential information and using sensitivity, tact and discretion in internal and external communications. 
  • Demonstrated interest in professional development, to independently identify knowledge gaps and/or opportunities to enhance job performance and contributions.

 


Preferred:
 
  • Knowledge of functional areas, including but not limited to Human Resources, Academic Personnel, Timekeeping, International Scholar employment. 
  • Basic knowledge of and ability to apply / interpret organization and university policies and procedures which govern academic HR. 
  • Knowledge of organization, university, and departmental formal and informal policies and procedures and understanding of variances to stated policies. 
  • Knowledge of human resources management systems and other related business software programs and systems (ex. PeopleSoft, UCPath, TRS). 
  • Knowledge of unit academic culture and educational goals of discipline(s) served.
