Working in the University Libraries dean's office in the Bizzell Memorial Library, the Senior Administrative Support Specialist provides public-facing administrative support for the dean's office and individual support to senior administrators. As a key member of the administration support team the position completes a wide range of duties geared toward assisting visitors to the library dean's office, coordinating room reservations with University Libraries, supporting library projects, coordinating events, and assisting with fund-raising activities and events. The position provides support for library communications, including producing flyers, posters, signage and editing publication content.
Essential duties include but are not limited to:
- Provides administrative support including resolving routine questions/problems, file maintenance, scheduling appointments, front-facing reception, and report preparation.
- Maintains confidential information.
- Schedules appointments for office personnel.
- Receives incoming calls and makes calls as needed.
- Serves as a contact person for the dean’s office.
- Provides information regarding library services.
- Monitors and orders supplies for the office.
- Prepares reports for library administration.
- Opens, routes, and prepares incoming and outgoing mail.
- Plans and organizes meetings and events.
- Makes travel arrangements for library personnel and invited visitors.
- Supports library communication efforts.
- Supports special projects as assigned

Required Education: High School Diploma or GED AND:
- 24 months of office, clerical or administrative experience
Equivalency Substitution: Will accept 48 months experience in lieu of Bachelor's degree for a total of 72 months experience.
Preferred:
- Bachelor's degree
- Advanced writing and editing skills
Skills:
● Excellent oral and written communication skills
● Ability to work with diverse groups of people in a respectful, equitable and inclusive way
● Strong technology skills including Microsoft Office products (Word, Outlook, Excel, PowerPoint)
● Ability to work independently and collaboratively
● Excellent organizational and time management skills
● Experience building and sustaining effective interpersonal relationships and working collaboratively in a fast-paced environment.
● Ability and desire to perform a number of different types of tasks through a given work day, ranging from handling urgent requests to working on long term projects.
● Critical thinking skills, including an aptitude to research, collect, and analyze data and prepare reports or responses to inquiries
