Payroll Assistant - Temporary Leave Replacement - Southampton Hospital - Hampton Bays Office

Position Summary

The Payroll Assistant will support the Human Resources and Payroll function to insure employee records and pay data is accurately recorded and maintained within the HR and Payroll system. The Payroll Assistant will support the Payroll Manager with payroll processing, administrative tasks and special projects.

This is a leave replacement that can end at any time. 

Duties of a Payroll Assistant may include but are not limited to the following: 

  • Supports bi-weekly payroll process and is able to process all aspects of payroll in an accurate and timely manner.
  • Accurately inputs and records salary changes in accordance with policy and CBA's in a timely manner.
  • Processes retroactive payments, off-cycle checks, and other CBA-related payments.
  • Manages direct deposit and e-stub program effectively.
  • Administers and processes invoices for voluntary benefit programs including AFLAC, short-term disability, and supplemental life insurance. Insures employee deductions and premium payments are reconciled and coordinates payment for employees on leave in a timely manner.
  • Processes monthly benefit invoices for short-term disability, long-term disability, and Life/AD&D insurance programs in an accurate and timely manner.
  • Respond to requests for verification of employment and any related requests for employee wage and employment history information.
  • Provides data to the Union for employee benefit eligibility or employer contribution purposes.
  • Addresses correspondence regarding wage garnishments and levies and processes in payroll as necessary.
  • Provides payroll data in conjunction with annual audits or other reporting requirements.
  • Accurately reconciles employee benefit and seniority records in conjunction with employee leaves of absence as per CBA and policy.
  • Provides administrative support including the maintenance of payroll/employee records and assistance with payroll-related inquiries, report generation, and analysis.
  • Supports additional HR and Payroll duties or projects as necessary.

Qualifications

  • High School diploma/ equivalent required. Bachelor's degree in Business or related field preferred.
  • Prior experience in a business/office setting required, preferably in a Human Resources or Payroll capacity.
  • Strong quantitative skills and attention to detail.
  • Computer literacy with an emphasis on MS Office. Comfort with learning new technologies.
  • Excellent customer service, interpersonal and communication skills required.
  • Ability to prioritize, multi-task, and be teamwork-oriented.
  • Position is located in Hampton Bays.

Prior to start date, the selected candidate must meet the following requirements:

  • Successfully complete pre-employment physical examination and obtain medical clearance from Stony Brook Medicine's Employee Health Services*
  • Complete electronic reference check with a minimum of three (3) professional references.
  • Successfully complete a 4 panel drug screen*
  • Meet Regulatory Requirements for pre employment screenings.
  • Provide a copy of any required New York State license(s)/certificate(s).

Failure to comply with any of the above requirements could result in a delayed start date and/or revocation of the employment offer. 

*The hiring department will be responsible for any fee incurred for examination.
