Position Summary
Functions as a liaison between referring physician offices, patients and WU specialists to coordinate the scheduling of specialty appointments and testing.


Job Description

Primary Duties & Responsibilities

  • Processes referral requests from referring physician offices for specialty appointments and testing.
  • Communicates scheduled appointments/testing to patients/delegated representatives and the referring physician offices.
  • Documents status of referral request and communication with specialty office and patient/delegated representative.
  • Provides timely service with an emphasis on superior customer-focused, personalized service. 
  • Maintains a working knowledge of WU specialty practices and their operational systems, policies and procedures for scheduling appointments. Stay abreast of new services, new faculty and areas of interest. 
  • Maintains working knowledge of managed care contracts and coverage to assist staff and referring offices with scheduling of appointments, precertification requirements, etc.
  • Performs other duties as assigned.

Preferred Qualifications

  • Demonstrated interpersonal skills.
  • Working knowledge of insurance and financial options.
  • Associates degree.
  • Working knowledge of existing technologies and software programs including, but not limited to, Microsoft Office and Epic.
  • Organized and ability to prioritize tasks
  • Attention to detail.


Required Qualifications

  • High school diploma or equivalent high school certification.
  • Three years of experience in billing systems and third-party claims and/or experience in a medical office setting or related customer service/office experience.
  • Basic Life Support certification (Online Basic Life Support certifications, those without a skills assessment component, are not sufficient to meet the Basic Life Support requirements). Basic Life Support certification must be obtained within one month of hire date.

The salary range reflects base salaries paid for positions in a given job grade across the University. Individual rates within the range will be determined by factors including one's qualifications and performance, equity with others in the department, market rates for positions within the same grade and department budget.
