The Outreach Coordinator is responsible for the Front Office operations for the Education Abroad unit, as well as a key collaborator on all outreach & recruitment activities. The Front Office is primarily staffed by student workers, with oversight from the Outreach Coordinator, and is responsible for all phone, email, and in-person study abroad inquiries. This is often the first point of contact for students, faculty, staff, and families interested in studying abroad and as such the Outreach Coordinator is responsible for ensuring a warm, welcoming, resourceful, and efficient environment. Additionally, the Outreach Coordinator will be a key collaborator on all outreach and recruitment activities, including classroom visits, social media initiatives, events & outreach activities, and other related responsibilities. This role supervises 4-6 student workers and directly reports to the Assistant Director of Outreach.

The position is based in Norman, Oklahoma, offering the flexibility of hybrid work schedules with the possibility of up to one remote workday per week.

Responsibilities:

  • Manage the Education Abroad Front Office
  • Supervise student employees, including initial and ongoing training
  • Ensure appropriate & efficient office functions
  • Cultivate a warm, welcoming, and helpful office including all outgoing communications
  • Collaborate on outreach initiatives to include visiting classes, tabling, presentations, assisting with recruitment events, and other related tasks under the supervision of the Assistant Director of Outreach
  • Administrative tasks such as booking services, preparing packets (virtual or physical), or other tasks as needed
  • Maintains files indicating student progress, letters of recommendations, transcripts, etc., as required
  • Assists students by providing information pertaining to lectures, exams, national board exams, financial aid, textbook procurement, etc.
  • Interfaces with Student Services in matters concerning grades, transcripts, and student status
  • Participates in planning and implementation of orientation for new students
  • Coordinates schedules for students within or outside the college or department
  • Performs various duties as needed to successfully fulfill the function of the position
 

Job Requirements

Required Education and Experience: High School diploma or GED, AND;

  • 12 months of office/clerical experience

Skills:

  • Ability to communicate verbally and in writing
  • Ability to accurately read and understand written materials and instructions
  • General office skills such as phone, copying, faxing, filing, and handling mail

Advertised Physical and Environmental Requirements:

  • Ability to engage in repetitive motion and communicate effectively
  • Hearing capability, including receiving detailed information orally
  • Standard office environment
