Job Summary:

The Department of Anesthesiology is seeking applicants for Operations Coordinator. This full-time, University Staff (Unclassified) position will work closely with the Director of Finance and Administration (DFA), HR & Faculty Affairs Program Manager, Adult APP Directors, and other Departmental leadership to support the operational needs of the four Adult APP Teams which are comprised of over 120 CRNAs, CAAs, NPs, and PAs who support the clinical mission in the Department of Anesthesiology. The four Adult APP Teams are: CRNAs/CAAs, Acute Pain Services (APS), Pre-Procedure Services (PPS), and Chronic Pain.

The Operations Coordinator is responsible for planning, organizing, and assisting with the clinical and business activities of the Adult APP Teams, ensuring compliance with all internal and external policies and procedures that govern the Department’s efforts. The Operations Coordinator assists with fiscal affairs, human resources, and day-to-day operations in support of the Department’s and School of Medicine’s missions and goals specific to the APPs.

A successful Operations Coordinator will provide high quality, creative, and solutions-oriented support to the Adult APP Teams. The position will be responsible for having a deep understanding of the operations of the APP Teams to include scheduling requirements, compensation structure, financial structures and budgeting, and evaluation structure and reporting. Additionally, the Operations Coordinator will assist project teams created specifically for the Adult APPs, time management and budgeting, and ensuring delivery of quality solutions that meet established expectations. For project-related tasks, the Operations Coordinator will work closely with the Department’s Special Projects Coordinator to define project scopes, set expectations, manage issues, and establish work structures that fit into an iterative project management methodology.

To be successful in this role, the ideal candidate must understand the importance of grounding their decisions in policy, best practice, and consistency. While new and creative ideas regarding operations of the team are encouraged and accepted, those ideas must be rooted in compliance and equity for all team members.

Key Responsibilities:

  • Assist with the day-to-day operations of the Adult APP Teams at all clinical locations to include managing aspects of a complex scheduling system in Qgenda which includes various call and incentivized shifts; coordinating requests for FMLA, FTE changes, etc.; and assisting with compensation and budget planning and revisions. This is done in collaboration with Departmental leadership.
  • Assist with the development of administrative policies, procedures, guidelines, and annual 360 evaluation process specific to the Adult APP Teams, working with the Department’s HR Manager and University Legal and Risk Management to ensure compliance.
  • Plan, implement, and execute business, operational and clinical projects in conjunction with the Special Projects Coordinator at the request of APP and Departmental leadership; develop a process to track and report on progress and accomplishments specific to individual APP-related projects.
  • Coordinate salary allocations that are complex in nature, working closely with the Department’s Payroll & Compensation Specialist to ensure accuracy and timeliness of both salary funding distributions, as well as incentivized shift payments.
  • Coordinate with APP Leadership regarding the creation and implementation of various policies, handbooks, guidelines, etc. that will be maintained on the Department’s Intranet.

Work Location:

This role is expected to work onsite and is located in Aurora, CO. At the conclusion of the training period, the individual who fills this position may be eligible for remote work 1 – 2 days a week pending the approval of the People Operations Manager.

Qualifications:

Minimum Qualifications:

  • A bachelor’s degree in business, business administration, finance, social sciences, healthcare administration, public administration, communications, information systems, or a directly related field from an accredited institution.
    • A combination of education and related technical/paraprofessional experience may be substituted for the bachelor’s degree on a year for year basis.
  • Two (2) years of professional level experience supporting the operations of a program or team.

Preferred Qualifications:

  • Experience working in a healthcare clinic or medical field in an administrative capacity.
  • Experience utilizing and/or managing complex scheduling systems such as Qgenda.
  • Experience working in higher education and/or academic medicine and in large settings.
  • Experience with financial forecasting and/or analysis, budget analysis, and/or management concepts.

Anticipated Pay Range:

The starting salary range (or hiring range ) for this position has been established as $59,313 - $75,446.

The above salary range (or hiring range ) represents the University’s good faith and reasonable estimate of the range of possible compensation at the time of posting. This position may be eligible for overtime compensation, depending on the level.
