The Opportunity:

The Office Support Assistant has responsibilities for enrollment, degree certifications, and the transient student process. This role is the primary contact for the National Student Clearinghouse.

Responsibilities:

  • Processes data forms such as FERPA holds for Enrollment and Degree Certifications and other forms as necessary.

  • Handles confidential information and determines release of information as outlined by the University.

  • Receives forms and individual requests via mail, fax and walk ins in a variety of formats.

  • Coordinates the enrollment and degree certification process, including online and batch certification production and record retention through the National Student Clearinghouse.

  • Verifies and validates all UCF enrollments (graduate and undergraduate) for loan deferments, financial aid, military identification cards, insurance claims, etc.

  • Processes transient applications and registration for incoming SUS transient students, entering applications and updating the database as necessary.

  • Assists with registering students when necessary.

  • Provides instructions and information to transient and non-degree students by mail, email, and phone for students and reports.

  • Receives and processes forms in a variety of formats and requests from individuals, agencies, and organizations via mail, fax, and walk-ins regarding enrollment and degree certifications.

  • Serves as back up for Senior Citizen Audit registration and Limited Non-Degree registration, processing Non-SUS transient forms and name change requests.

  • Assists students and customers on a daily basis to include walk-ins, emails and phone calls about the Registrar Office's policy and procedure, and the University policies.

  • Maintains the enrollment email account.

Minimum Qualifications:

High School Diploma or equivalent and 0+ years of relevant experience, or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219(6) . 

Preferred Qualifications:

  • Experience in higher education.

  • Excellent problem-solver and customer advocate.

  • Ability to interpret rules, regulations, policies, and procedures.

  • Experience in sound decision-making and problem assessment.

  • Ability to communicate effectively verbally and in writing.

  • Ability to handle difficult situations and to work with a diverse student population.

  • Ability to plan, organize, and coordinate work assignments.

  • Ability to review work for accuracy and quality of content.

  • Ability to determine work priorities and ensure proper completion of work.
