Assistant Office Manager

The primary purpose of this position is to establish an assistant office manager dedicated exclusively to support the functional needs of the Advisement Center in the College of Fine Arts and Communications. The assistant office manager is responsible for sustaining clerical needs (reports, financials, meeting minutes, etc.) and for supporting student employees. The assistant office manager also assists the Advisement Center supervisor and office manager as needed.

 

What you'll do in this position: 

  • Support student employees
  • Maintain office reports, correspondence, and budget
  • Prepare agenda and minutes for weekly advisor meetings
  • Assist the Advisement Center Supervisor and Office Manager

 

What qualifies you for this role:

Required

  • A firm commitment to the mission of BYU 
  • Minimum 2-year combined experience as a student and as an office employee in higher education
  • Aptitude for understanding, mentoring, and working well with student employees
  • Aptitude for understanding, mentoring, and working well with student employees
  • Sense for effective time management, ability to take initiative, be self-motivated, and meet deadlines without direct supervision
  • Ability to instruct and manage others, motivate their performance, and resolve conflict
  • Good communication skills in assisting students, parents, colleagues, faculty, administrators, etc.
  • Strict sense of organization and efficiency; ability to multitask
  • Excellent writing skills
  • Ability to function productively during peak busy seasons as well as potentially lighter seasons
  • Computer experience and proficiency in basic office computer programs (i.e.: Microsoft Word, Outlook, Excel, etc.)
  • Skills using basic office equipment (i.e.: copy machines, scanners, printers)
  • Familiarity with telephone etiquette and protocol
  • Basic accounting ability
  • Level of knowledge and competence in the area of student services; familiarity with the BYU website, BYU policies and procedures; knowledge and understanding of the BYU community

Preferred

  • Bachelor's degree
