Under general supervision of the Associate Director of Sponsored Projects, the Office of Sponsored Programs Coordinator will perform a variety of administrative duties supporting the Office of Sponsored Programs (OSP) and maintain quality customer service in a deadline-oriented environment.  The OSP administers research and training grants received by the ASC from various Federal, State, and private sources. The department also administers independently funded campus programs.


Essential Duties

  • Tracks new awards and routing documents for the Executive Director’s signature. Maintains the new award log for monthly reporting to the Associate Vice-President of Research.
  • Responsible for administrative functions and troubleshooting the Special Consultant Payment Request (SCPR) system. This online CSUF-developed system tracks and records requests and approvals of faculty additional pay.
  • Assists University employees with using the SCPR system and updates SCPR documentation as needed.
  • Follows up with CSUF employees who have scheduled additional salary for work performed on ASC-administered external grants to assure timely payment.
  • Generates reports for university employee payment requests via the SCPR system.
  • Encumbers and disencumbers faculty additional pay in One Solution as pay requests are approved and then paid out.
  • Coordinates the flow of payroll documents between Sponsored Programs and Human Resources and reviews documents against project personnel budgets.
  • Assists sponsored programs employees with using the Timeclock app. Follows up with supervisors to resolve Timeclock hours submitted but not approved for ASC employees working on sponsored programs.
  • Assists with HR and Payroll problem resolution for sponsored and campus program employees.
  • Monitors and reconciles any California Meal Policy violation charges.
  • Assists the Compliance Officer with preparing effort reports for sponsored programs, collecting monthly exempt employee effort certifications, and faculty conflict of interest forms.
  • Other sponsored programs duties as assigned.


Qualifications

  • A highly developed customer service attitude is required for this position as the candidate will be interacting frequently with faculty in addition to university department administrative support staff. The successful candidate will need a combination of tact and, at times, polite assertiveness in dealings with other departments and individuals across the campus.
  • Professional level communication skills, both verbal and written.
  • This position requires a very detail-oriented individual who can accurately record information and keep track of progress made on multiple ongoing tasks.
  • Intermediate knowledge of Microsoft Office apps (especially Excel), Outlook, and Adobe Acrobat.
  • The ability to learn various computer applications for specific functions within the department. We use an in-house payment request and approval system (the SCPR) for university faculty who are paid from the externally and internally funded projects administered by the ASC.
  • This position requires independent thinking and judgement and the ability to learn and apply ASC and University policies in situations that are not always straightforward.
  • Basic knowledge of accounting processes including Fund accounting will be helpful.
  • Experience working in higher education, a public school district, or a government agency preferred.
 
EDUCATION
  • Minimum associate degree in accounting, finance, or information systems preferred.



PHYSICAL DEMANDS:
Prolonged sitting in front of computer. Walking, talking, hearing, pulling, bending, may carry 10-15 pounds of objects/material, not exposed to extreme noise level, use hands to finger, handle, or feel, reach with hands or arms, stoop, kneel, taste or smell.
