Position Focus:

Assists the Director and Leadership Team in the daily operations of a therapeutic middle and high school run by the Department of Psychiatry.  Position includes oversight of financial reporting; billing, compliance with state and district special education laws, requirements, and reporting; the contracting process; strategic and routine communications; maintenance of educational and personnel records; interface with facilities and external vendors for repair and maintenance; establish and maintain relationships with outside vendors; scheduling; information technology and special event planning. This position will oversee the work of administrative staff providing support to these areas and will include other assignments and projects as assigned by the Director.


Essential Duties

1. Manages, reviews, and determines staffing needs, job posting requirements, salary guidelines, and labor agreement interpretations for unit. 2. Reviews the administrative support needs for staff and provides recommendations, improvements, solutions and support as needed 3. Assesses technology needs, conducts inventory, and system requirements for the unit. 4. Develops and prepares budgets, financial forecasts, and financial analyses and the actual vs. budgeted performance reports for the unit. 5. Manages administrative support for activities of unit to ensure timely completion of projects. 6. Develops, and plans the use of facilities for the assigned unit including office space, work stations, equipment, and office supplies. 7. Develops training materials and plans training sessions for assigned unit to educate staff on new or changed policies or practices. 8. Ensures compliance with University and federal regulations as they apply to the work of the unit. 9. Identifies, plans, and develops administrative policies for the unit. 10. Implements and enforces University and departmental policies as they pertain to the administrative functions of the assigned unit. 11. Assesses and makes recommendations regarding staff development and staffing levels. 12. Directly manages a staff of non exempt employees. 13. May directly manage a staff of exempt employees. 14. May perform other duties as assigned.


Required Education and Experience

Minimum requirement of Bachelor’s Degree in related field and two years of experience or an equivalent combination of education and related experience.


Required Skill/Ability 1:

Well-developed decision-making, planning, organizational and problem-solving abilities. Demonstrated ability to manage time and resources effectively and remain calm in stressful situations.


Required Skill/Ability 2:

Excellent written and verbal communication skills. Ability to adapt communication style to address the needs of individuals at all levels. Demonstrated commitment to excellent customer service both internally and externally.


Required Skill/Ability 3:

Strong interpersonal skills and an ability to work collaboratively as part of a team as well as oversee the work of support staff, providing direction and feedback.


Required Skill/Ability 4:

Working knowledge of Word, Excel, Outlook and ability to learn new software/platforms including state educational and data reporting platforms and communications platforms.


Preferred Education, Experience and Skills:

Experience in a K-12 school environment, experience in a mental health or other human services setting.
