The Computer Science Department in the USC Viterbi School of Engineering seeks to recruit a Front Office Manager (Administrative Assistant II) to manage the front office and support other administrative operations on behalf of the department. This position will report temporarily to the Senior Business Officer, and subsequently to the Operations Manager. The Front Office Manager is responsible for overseeing front office operations on behalf of the department. This is a fully onsite position.

The ideal applicant is a collegial, adaptable professional that is dedicated to efficient, consistent customer service and will be well-prepared to deliver the following:

  • Front office reception manage the front office reception space and support overall office operations. Deliver effective customer service, a positive environment, and a culture of support to staff, students, and faculty.

  • Executive support provide an array of administrative support the Chair, the Senior Business Officer, and the Office Manager as needed. Support departmental events and other office operations.

  • Facilities management handle facilities and access requests on behalf of the department. Manage keys and electronic locks (key card system). Manage departmental space database in Viterbi Space Manager system. Manage parking reservations and room reservations for faculty, staff, and visitors.

  • Office inventory manage office inventory. Order and track office supplies; manage the kitchen and pantry area; manage mail and deliveries; manage and organize storage rooms.

  • Student workers supervise and train student workers to ensure exemplary customer service.

The hourly rate range for this position is $24.62 - $27.59. When extending an offer of employment, the University of Southern California considers factors such as (but not limited to) the scope of responsibilities of the position, the candidates work experience, education/training, key skills, internal peer equity, federal, state, and local laws, contractual stipulations, grant funding, as well as external market and organizational considerations.

Minimum Qualifications

Minimum Education: Bachelor's degree, Combined experience/education as substitute for minimum education

Minimum experience: 3 year general office experience in a university or research setting

Minimum Field of Expertise: Secretarial or specialized clerical and administrative experience

Preferred Qualifications

Preferred Qualification: Bachelors degree and three years of administrative experience at a university or research institute.

Preferred Experience: Ability to meet and manage deadlines; work independently and well under pressure; strong organization and prioritization skills; experience working in an academic institution; experience working in diverse workplace and/or with an international community; a demonstrated commitment to kind and patient customer service.
