Position Description


Advertised Job Summary
The office manager will manage the day-to-day operations and serves the administrative needs of the office. The incumbent work closely with the Director and executive team to implement decisions named on behalf of the Institute for Families in Society (IFS), consult with the Director on all matters related to the operation of IFS, assures office coverage when necessary and performs other duties necessary for the coordinated functioning of the Institute. This position provides oversite in all aspects of Human Resources activities with the department.
Minimum Qualifications
Bachelor’s degree in business administration or related field and 5 years of related work experience, which may be substituted by equivalent combination of certification, training, education, and/or experience.
Preferred Qualifications
Master’s Degree in Business administration or related field and at least 3 years of direct work experience in an academic unit with research activities is strongly preferred.
Knowledge/Skills/Abilities
Knowledge of State and USC Policies and Procedures related to Human Resources.
Knowledge of USC HR polices and procedures and related processes and knowledge of PeopleSoft, People Admin, and HCM.
Knowledge of laws, regulations, policies and procedures related to human resources, and procurement.
Ability to communicate effectively, both written and verbal.
Ability to plan and organize work activities, multi-task.
Ability to exercise judgement and discretion in interpreting and applying policies and procedures
Skilled in Microsoft office Suite.

Services as the department liaison. Performs activities related to fiscal management, personnel management, procurement, and supply services. Assures quality in the documents that are prepared on behalf of the IFS.

Carries out special projects and performs assignments as directed by the director. Provides support for projects activities as assigned by the Director, and/or initiates own projects which are felt to be needed at IFS in conjunction with the Director and central management staff.

Works closely with the IFS Business Manager and the Integrated Health Policy Research Business Manager to assure smooth and coordinated management of the office and the research programs of the IFS.
