Position Summary
This position will provide general administrative office support for three community-engagement teams, serve as a welcome receptionist, order office supplies, and manage calendars and track space usage for classrooms, workstations, and huddle spaces. This is full-time in-person role, with hours of 8:30 am to 5:00 pm Monday through Friday at WashU's Community Engagement Office


Job Description

Primary Duties & Responsibilities

  • Serve as a receptionist by answering phones and greeting visitors; respond to inquiries and provide information using established guidelines or referring to appropriate individuals.
  • Schedule routine appointments, maintain office/department calendars, make routine travel arrangements, and prepare travel expense reimbursement according to guidelines for Senior Advisor to the Chancellor.
  • Monitor, maintain, and order/stock office, toner, paper, and miscellaneous supplies as needed.
  • Oversee booking and scheduling of office workstations, huddle spaces, and classrooms through the calendar management system and provide orientation to new groups to book and schedule office spaces. Track space utilization and provide monthly reports on office use.
  • Type correspondence and forms; scan and fax documents, make copies, maintain files (electronic and hard). Receive, sort and distribute mail.
  • Performs other duties as assigned.

Preferred Qualifications

  • Three years of administrative support experience.
  • Computer skills with experience using Microsoft Office Suite, including Word, Outlook, Excel, PowerPoint and Access.
  • Accuracy and attention to detail.
  • Proven experience as an office manager or in a similar role.
  • Strong organizational and multi-tasking skills.
  • Excellent communication and ability to communicate with a broad and diverse range of people.


Required Qualifications

  • High school diploma or equivalent high school certification.
  • One year of experience in an office or administrative support position.

Salary Range
$17.52 - $26.27 / Hourly

The salary range reflects base salaries paid for positions in a given job grade across the University. Individual rates within the range will be determined by factors including one's qualifications and performance, equity with others in the department, market rates for positions within the same grade and department budget.
