Advertised Job Summary
The Administrative Assistant plays a pivotal role in providing administrative support to the School of Journalism and Mass Communications and the college. This position involves handling a wide range of administrative tasks, assisting faculty, staff, and students, and ensuring efficient operations within the college environment.
Minimum Qualifications
Bachelor’s degree and no prior work experience, which may be substituted by equivalent combination of certification, training, education, and/or experience.
Preferred Qualifications
Bachelor’s degree and no prior work experience, which may be substituted by equivalent combination of certification, training, education, and/or experience.
Knowledge/Skills/Abilities
Ability to coordinate administrative functions despite frequent interruptions. Knowledge of principles of modern office practices, procedures and equipment. Proficiency in computer applications, particularly Microsoft Office programs and online university systems.

Administrative Support:
  • Provide administrative support to college departments, including but not limited to, answering phones, responding to emails, managing calendars, and organizing meetings.
  • This person will serve as the point of first contact in the office and phone as well as support the director of the school.
  • Maintain office supplies inventory, equipment, and facilities. Coordinate maintenance and repairs as needed.
  • Course scheduling assistance, when needed.
  • Assist with search committee scheduling, travel, reservations, etc.

Financial Support:
  • Process all travel, logistics, expenses, foundation expense payments, payment requests and reimbursements for SJMC.
  • Prepares and processes purchase requisitions, payment requests, invoices, grants, honorariums and other financial transactions.
  • Uses university purchasing card within the established limits of provides VISA statements and receipts to the college’s purchasing card coordinator in a timely fashion.

Event Coordination:
  • Assist in planning and coordinating school/college events, workshops, and meetings.
  • Arrange logistics, coordinate schedules, and provide on-site support and set up.

  • Participate in special projects and initiatives as assigned by school/college leadership.
  • Initiate student course evaluations (Class Climate) each semester and ensure reports are sent to faculty and administrators.
  • Maintain all SJMC records.
  • Schedule, prepare and facilitate meetings and meeting minutes.

Graduate Student Services Support:
  • Create, organize, and maintain student files on Xenos server.
  • Assist with admissions-related documents and inquiries during high volume periods (late Fall and late Spring).
  • Organize data and develop lists/spreadsheets for Associate Director of Graduate Studies.
  • Contact students and send reminders regarding submission of various documents and deadlines.
  • Send mandatory documents to Graduate School for master’s and doctoral students.
  • Assist with new graduate student orientations and other graduate events.
