Job Summary/Description
Performs office management or support the Kay Bailey Hutchison Center, under minimum supervision.
Typical Duties/Job Duties
  • Plans and organizes a variety of administrative support duties ranging from general clerical to intricate administrative coordination, and ensures completion of tasks in an efficient and timely manner using discretion to make judgments based on operating guidelines.
  • Greets staff, faculty, students, visitors and others coming into the office. Answers the telephone, routes calls, takes messages, makes appointments, and responds to routine queries about procedures, policies or practices.
  • Retains file documents.
  • Prepares digital and physical files, folders and label and ensures adherence to records maintenance guidelines, confidentiality, and related policies and procedures.
  • Schedules meetings, sets up events, staff meetings and appointments for Department Chair.
  • Makes decisions on a daily basis regarding calendar.
  • Composes and/or prepares correspondence, memoranda, promotional materials, presentations, proposals, grant applications, travel arrangements/paperwork, and other administrative forms, as required.
  • Prepares budget transfers and non-payroll expenditure transfers; maintains internal accounting records and other duties related to fiscal administration.
  • Responds to and initiates inquiries (questions regarding Computer Science, purchasing, personnel, Code Camp, etc.).
  • Explains policies and independently resolves problems when feasible.
  • Manages purchasing needs.
  • Responsible for keeping track of departmental Pro-card purchases and monthly invoice reconciliation.
  • Maintains, monitors, and reconciles department expenses and accounts; oversees inventory of property and consumable supplies, ordering supplies as needed.
  • Books facilities and catering, if applicable, for special or recurring events; issues invitations and monitors RSVPs; monitors and controls expenses.
  • Places and removes signs and posters on bulletin boards.
  • Receives, opens and sorts departmental mail and distributes to appropriate staff.
  • Prepares outgoing mail.
  • Manages departmental errands as needed.

  • Performs other administrative duties as required to support the mission and function of the department.

    Knowledge, Skills and Abilities
    • Knowledge of general office procedures and practices.
    • Knowledge of Microsoft Office applications and other computer applications as required.
    • Skilled in in oral and written communication.
    • Skilled in interpersonal relations.
    • Skilled in the use of computers, copiers, printers and other office equipment.
    • Ability to perform basic mathematical calculations.
    • Ability to relate well with supervisor, students, faculty, staff, and visitors.
    • Ability to work accurately with attention to detail.
    • Ability to work with minimum supervision after appropriate training.

    Minimum Qualifications
    Associate degree.
    Preferred Qualifications
    Baccalaureate degree.
    Office experience.
