Provides a wide variety of administrative and staff support services to the department. Coordinates and administers projects and processes specific to the functioning of the department. Responsible for managing the department budgets and making budget recommendations to the chair. Assists in the preparation and control of records, statistics, and reports regarding students, personnel changes, etc. Serve as administrative Point-of-Contact with others within and outside the university regarding administrative issues related to purchasing, personnel, facilities and operations. Orients new employees.

Administrative Support - 50
Provide administrative support for a large department that includes, but is not limited to: Maintaining, processing, and updating personnel records (27 faculty, 4 FT staff and 2 PT faculty/staff), student records, and financial files. Complete hiring forms.  Process over 1000 purchasing requests annually. Liaise with individual vendors and provide guidance to faculty and staff on appropriate vendors. Be familiar with shipping requirements for biologicals and hazardous materials. Approve requests for Special Course Fee purchases and make recommendations for approval to the chair. Address administrative problems and inquiries. Respond to inquiries made either by telephone, e-mail or in person by students, faculty, other university departments, and/or the public. Assist over 450 major students with Drop/Add procedures, petitions, registration, course substitution requests, graduation applications, course overrides, etc.
Coordinating - 40
Assist the chair in creating approximately 200 course section schedules for every semester (Fall, Spring and Summer) and enter them into the USG Banner system. Scheduling requires obtaining course listing of scheduled courses, identifying any course needs not covered, identifying and avoiding course conflicts, consulting with the Chair on faculty teaching schedule, and entering the course schedules in the Banner system. After Banner entry, monitoring the schedule for inevitable changes to the scheduling throughout the year. Assessment of course needs based upon the major's curricula is important to provide the department chair with recommendations of the number of sections required and the availability of personnel. This would include assisting the chair in identifying adjunct faculty. This requires a complete understanding of the Biology, Environmental Science and Core Curriculum. Provide oversight on the annual revisions to the Undergraduate and Graduate Catalog.
Supervision - 10
Supervise the department's administrative assistant on a daily basis; addressing daily, monthly, or semester tasks, and assisting with questions or requests. Monitor task accomplishment, and provide mentoring: data entry, maintenance student files, monitors transfer articulations, etc. Provide oversight involving registration of students, enabling seat modifiers, monitoring facility use, maintaining inventory and addressing general student needs.

Educational Requirements
Associate's Degree
Required Experience
At least three years of experience; OR an equivalent combination of education and experience.

  • Knowledge of supplies, equipment and/or services ordering and inventory control. 
  • Knowledge of institutional and departmental policies.
  • Knowledge of university policies related to travel, purchases, and faculty/staff leave.
  • Knowledge of general accounting principles, Database management, Records maintenance. 
  • Skilled at word processing and/or data entry skills in Excel or similar software.
  • Ability to communicate effectively, both verbally and in writing. 
  • Ability to analyze and solve problems. 
  • Ability to proactively make administrative/procedural decisions and judgments. 
  • Ability to gather data, create, compose, and edit written materials, and compile reports as needed.
  • Ability to maintain calendars and schedule appointments.
