Office and Development Coordinator

The Office and Development Coordinator manages Cornell’s Alumni Affairs and Development office in New York City, housing 25-30 team members and providing temporary office space for colleagues traveling from Ithaca and other Cornell offices. This role also provides administrative support for the Executive Director of the Northeast Corridor and four Major Gift Officers. The position supports the team’s efforts to raise $20 million annually to support Cornell students and faculty. Activities include:

  • Providing administrative support to fundraisers, including assisting with data entry in the fundraising database, helping with events, drafting acknowledgment letters, proofreading materials, and other tasks as assigned.

  • Providing administrative support for the Executive Director, managing their calendar, making travel and meeting arrangements, coordinating meeting materials, and assisting with correspondence and reporting.

  • Preparing fundraising reports to analyze team progress.

  • Interacting with donors, answering questions on the main phone line, welcoming them to the office, and making calendar appointments.

  • Providing logistical support in the office, including managing room reservations, connecting and using technical equipment in the conference room, coordinating mail deliveries, ensuring that visitors to the office are logged into the security system, coordinating onboarding and offboarding logistics for staff, and providing first point of contact for visitors.

  • Monitoring the office budget, tracking expenses and balances, investigating discrepancies, paying bills, and processing expenses and reimbursements.

  • Working closely with senior staff, including deans, who are positioned in Ithaca and elsewhere to provide local support when they are in New York City.

  • Maintaining accurate information about the Northeast Corridor on the Cornell web site.

  • Other duties as assigned.

Required Qualifications:

We are looking for someone who has:

  • Associate’s degree and 2 to 4 years relevant experience or equivalent combination.

  • Excellent customer service skills.

  • Scrupulous attention to detail and excellent organizational skills.

  • Effective time-management skills and ability to collaborate with colleagues.

  • Highly proactive, with strong problem-solving skills.

  • Proven ability to thrive in a collaborative and complex workplace.

  • Excellent verbal and written communication skills.

  • Strong proficiency with Microsoft Office.

  • Proficiency with and ability to learn new software platforms.

  • Demonstrated ability to handle confidential information and materials.

  • Ability to attend occasional local events outside of traditional working hours.

  • Ability to travel to Ithaca 2-3 times per year.

No relocation assistance is provided for this position. Visa sponsorship is not available for this position. This position is located in New York City. The successful applicant will be expected to work on site 5 days a week.
