Job Summary

Responsibilities:

Clinical:

  • Perform routine clinical tasks such as vital signs, pain screening, and specimen collection.
  • Assist with medication reconciliation and updating patient medication lists.
  • Coordinate care for visits and future healthcare needs, communicating effectively between patients and medical staff.
  • Support patients and providers in the medication refill process.
  • Utilize electronic health records for informing care team members about preventative care.
  • Coordinate care with pharmacies, insurance companies, and community providers.
  • Prepare orders within Epic/APeX for provider approval.
  • Obtain authorizations from insurers for medications.
  • Ensure accurate and timely completion of clinical activities.
  • Assist providers in writing and sending patient communications.
  • Adhere to infection control and safety policies.

Communication:

  • Demonstrate courtesy and follow-through in telephone communications.
  • Uphold House Standards, AIDET Principles, and UCSF PRIDE Principles.
  • Notify providers and patients of service issues following established protocols.
  • Share pertinent information and observations with health team members.
  • Identify and communicate problems to nursing staff or supervisors.
  • Assist patients with issues and complaints, utilizing conflict management skills.
  • Lead by example in professionalism and demeanor.
  • Contact overdue patients as directed.

Operations Maintenance:

  • Maintain clean and well-stocked exam rooms, labs, and hub rooms.
  • Review and print results for providers upon request.
  • Schedule complex procedures and coordinate services for patients.
  • Adhere to infection control procedures outlined in the Infection Control Manual.
  • Participate in Quality Improvement and Customer Service initiatives.

Clerical Responsibilities:

  • Schedule established patient appointments and update registration information.
  • Coordinate urgent appointments and maintain medical record confidentiality.
  • Prepare paperwork and files for patient visits.
  • Handle APeX Clinical and MyChart InBasket messages.
  • Obtain insurance authorizations for procedures, visits, and medications.
  • Perform chart abstraction and utilize data in patient population management reports.
  • Route progress notes to the patient’s primary care provider as needed.

The hourly compensation range for this role is 

$31.90 - $39.82

. An offer will take into consideration the experience of the final candidate, position requirements, AND the current salary level of individuals working at UCSF in a similar role.

For roles covered by a bargaining unit agreement, there will be specific rules about where a new hire would be placed on the range.

Department Description

UCSF's Temporary Employment Program (TEP) recruits and hires temporary employees for immediate clerical and technical support services to UCSF Departments and various off-campus locations. UCSF departments deploy temporary employees to work on special projects, fill in for regular employees who are on vacation or leave, or to temporarily fill a vacant position during recruitment. Frequently temporary employees become successful candidates for career and limited appointment positions.


Required Qualifications

  • Certification from an approved Medical Assistant program or equivalent combination of training and experience.
  • Certification in phlebotomy (CPT)
  • One year experience as a Medical Assistant in a medical practice. 
  • Knowledge and abilities essential to the successful performance of the duties assigned to the position.
  • Current American Heart Association CPR Certification.
  • Demonstrated computer familiarity, keyboard skills, computer literate in programs such as Microsoft Word and Excel.
  • Willingness to learn new computer programs as needed to sustain practice operations.
  • Ability to work effectively with people from diverse cultures and diverse socioeconomic situations.

Preferred Qualifications

  • Familiarity with Epic (APeX) electronic health record system
  • Familiarity with immunizations including cycles and standard recommendations
  • Experience working with the public, preferably in a medical/hospital/clinic environment
  • Demonstrated fluency in Spanish or Chinese language: speaking, reading and writing
  • Internal Medicine, Primary Care, or Family Medicine experience
  • Familiarity and/or prior experience using a disease registry to track a population of patients
  • Experience collecting, and entering data, identifying errors and missing information, and performing basic analysis

License/Certification

  • Current American Heart Association CPR Certification
  • Certified Phlebotomy Technician 1
