Job Summary
The Kentucky Tobacco Research & Development Center in the Martin-Gatton College of Agriculture, Food and Environment seeks a Materials Coordinator Sr.
Position serves as the logistical coordinator for the Center for Tobacco Reference Products. Responsible for reviewing customer orders for: a completed disclaimer agreement; any tax authorization letters from the appropriate authorities; review customer account status to determine if the customer is current on payment of outstanding invoices from the CTRP. Track and ensure that a specific batch or lot is used to fulfill proficiency test product orders. Ensure country of origin is correct on international shipments. Package product for shipment and ship orders in a timely manner to customers. Contacts customer if any additional information is required to process the order and record information in LabKey. Record the Order/Product details on the Log by the cold storage door when pulling orders. Order more product as needed. Follows DOT/IATA shipping regulations. Update LabKey with Purchase Information. Monitor and take inventory of products, keeping accurate records and provide a monthly report to the Director.
Responsible for invoicing customers for product and shipping costs. Submit invoices through a vendor portal. Track and follow-up with customers with unpaid invoices. Receive and process checks, to include ACH/Wire; pair with invoice and complete transmittal for deposit. Update Labkey for paid invoices. Complete credit card processing form for government only orders. Print shipping invoices (UPS/FedEx, etc.), pair with customer invoices and submit for payment. Representative for CTRP. Point of contact to respond to customer inquires and assist customer as needed; resolve any customer issues. Responsible for screening registration requests for new customers; provide user name and links to establish passwords to CTRP website for new customers; and provide bank information or vendor applications as requested by customer institutions. Provide quotes for CTRP research products.
Complete online phytosanitary certificate application as requested to help with custom clearance. Complete restricted party screening for international web orders. Maintain accurate and complete customer records. Submit repair requests to SU group for research equipment. Manage SU program for equipment, to include paperwork for new equipment, annually verify equipment in program and submit program payments for processing. Complete Procard voucher for shipping invoices. Update Concur with receipts and invoices. Order shipping supplies and research products as needed. Pick up and distribute mail. Receiving all shipments and deliveries for CTRP and KTRDC. Reserve KTRDC parking space. Water plants on the weekend and maintain a weekly colony of bluemold tobacco plants.Other duties as required or requested. For more information about KTRDC, click HERE.
