Job Summary

The Lead  will be:

  • Responsible for ordering, receiving, delivering, stocking, and replenishment supplies provided by Material Services for use throughout the medical center.
  • Responsible for inventorying, tracking arrivals, and reconciling supply needs in the department and in other designated supply locations where assigned.
  • He/she is accountable for reporting supply discrepancies or needs to the activity or team leader of his/her group, and following up through the resolution phase.
  • Responsible for completing required documentation and follow-through processing of that paperwork for the return of overstock/overshipment as needed.
  • Completes replenishment of the supply locations via both manual and automated systems (ex. Automated Point of Use Station, or via HP handheld computers).
  • He/she is responsible for learning and using all automated supply management tools as requested, and equipment tracking systems (ex. EQUIPMENT MANAGEMENT SYSTEM) if needed.
  • Serves nursing, patients, and all ancillary departments and Material Services.
  • Will collect lab specimens, and charts and transport patients to examination areas as needed.
  • Will perform functions such as Automated Point of Use Station restocking, EQUIPMENT MANAGEMENT SYSTEM, front desk dispatcher, equipment collection, and distribution. Additional duties would include, Oxygen tank, collection set-up and delivery, asset location replenishment, patient transport, bed movement and delivery, messenger service, data input of requisitioned supplies, Patient Charging, and other data entry as needed, performing cycle counts, and medical specialty cart restock collection and delivery.
  • Designated drivers may be from any of the Material Services Associate series, provided they meet California DMV requirements.
  • With direction from the Sterile processing tech., the Lead  can identify and distribute sterile processing trays to the floors as requested.
  • Will be able to use internal phone systems, fax machines, internal pneumatic tube delivery systems, and dumbwaiters and report equipment failures to the shift lead.
  • Will recognize the interdependency of the various components of Materiel Services/ Clinical Support services, the Lead  makes him/herself available to support the activities in other parts of the department as needed. 
  • As part of his/her ongoing development, a Lead may be required to serve as a “Team Leader" for an activity center or group to which he/she is assigned.
  • A Team leader may share the same job classification or working titles as his co-workers but will carry additional reporting, and coordinating responsibilities for that group. Those duties may include but are not limited to, accepting supply reports from team members, placing combined written supply requests with Inventory Control Analysts to expedite, or with the Senior Lead, or the shift Supervisor.
  • The Team Leader is responsible for carrying information regarding problems within that workgroup to the Senior Lead, Supervisor, or further to obtain a resolution to problems within his/her activity group.
  • The Team Leader will be asked to coordinate his group to cover vacant positions for emergency sick calls when they become aware of them and notify the Senior Lead of the need for assignment readjustments.
  • The Team Leader serves as “eyes and ears” for the Team to ask, listen, and solve problems that his/her teammates are unable to resolve. A team leader is an ad hoc position, with duration for the shift, the day, the week, or any other period so designated.
  • On any assigned day the Lead may be reassigned by the Supervisor, or Department Management based on operational need. This should be considered a partial, but not a comprehensive list of the duties that a Lead will perform to enhance workflow in the department and benefits to Medical Center patients.
  • Tasks that are unique to the Lead , are staff leadership in the absence of a Supervisor, or the Senior Lead. His/her role would be to assess staffing needs and reassign staff members between team groups if critical functions appear understaffed.
  • His/her responsibility would be to call the on-call manager or supervisor to get the authorization to submit overtime or call in additional staff if needed. Lead will pursue supply requests, or expedite Supply needs from Approved Hospital Vendors as needed.
  • He/she will pursue supply requests, expedite borrowing, and arrange courier service from other hospitals as needed.
  • The Lead  educates him/herself to be a resource point for all Material Services Associate 1. 
  • The Lead  as well, as the Senior Lead is responsible for monitoring the activity flow of the department making sure that all of the necessary and enhanced functions of the department are being completed.  Some of the “enhanced” functions of the department would be ongoing improvements to the arrangement of equipment, proper storage, proper labeling correct and timely return of supplies, and patrols for unclaimed unidentified supply items within the department so that they are properly processed to their correct location.
  • The Lead monitors the activities of all Material Services Associate 1 and 2s and assigns them to ongoing tasks, for maintenance of the department.
  • Leads help ensure that there is minimal “downtime” or inactivity during working hours. He/she notes carefully which assignments continually aren’t completed on time, and which tasks are completed early. He/she provides this information to the Supervisor, to help in the reassessment and redistribution of tasks to improve department efficiencies.

Required Qualifications

  • High School graduation or equivalent; ability to read, write, and follow written and oral instructions in English.
  • Basic computer skills, including the ability to follow on-screen prompts, some word processing, and a basic understanding of networked systems.
  • He/she should be able to perform simple word-processing notes for posting local notices in the department. H/she should be able to build simple tables in Word or Excel, to create and maintain scheduling, and vacation templates for the shift to which he is assigned.
  • He/she should be able to create simple tables in Excel for creating short-supply requests and reports.
  • He must know how to “trouble-shoot” for the small palm-top inventory devices, including creating an interface to the desktop computer.
  • Understanding, and ability to reboot and reset the Automated Point of Use Station. Exchange backup tapes to the system.
  • He/she should be able to identify all of the steps that occur in a restock cycle via Automated Point of Use Station or direct upload in the INVENTORY MANAGEMENT SYSTEM system from palmtop computers.
  • Generate critical low pick sheets from the Automated Point of Use Station system
  • Good communication skills. Able to teach his skills to his/her co-workers.
  • Ability to be friendly, courteous, and work cooperatively.
  • Ability to move safely heavy supplies and equipment, a minimum of  50 pounds.
  • Ability to stand for an eight-hour shift, if necessary.
  • Able to walk, climb stairs, and sit throughout the shift
  • The ability to acquire a thorough knowledge of the principles of aseptic technique and to apply these principles when carrying out the various assignments in S&D.
  • One year of related experience; or an equivalent combination of education and experience.
  • Must continue to take classes related to performance improvement. These may be classes for Materials management, and inventory control. Sterile processing classes, computer, business-related, or other classes approved by the department for the continued development of his/her skills.

Preferred Qualifications

  • Previous Medical Supply and Inventory Management experience
  • Some College studies including misc. business classes, basic science classes
  • Computer Skills including basic Microsoft Office suite, and Internet use. 
  • Use of Microsoft Excel, and Word. 
  • Familiarity with Windows 2000, CE. Or a short learning curve for those kinds of applications.
  • Inventory experience in a retail setting. Warehousing experience provides a complement to that.
