Program Associate, Institute for Technology Law and Policy – Georgetown University Law Center

The Program Associate – in a critical, frontline role - manages all administrative and financial activities required for the effective and efficient administration of events, communications, policies and procedures.  They have chief responsibility for processing the department's financial and budgetary transactions, as well as for providing administrative and operational tasks and support relating to fundraising, office management, programs and events, and communications initiatives, and interacting with other offices within the Law Center and across the University. Reporting the Institute’s Executive Director, the Program Associate has responsibilities that include but are not limited to:

Budget and Financial Support

  • Manage the Institute’s financial transactions, including processing reimbursements and invoices, reconciling Pro Cards and monthly budget records, and supporting the annual budget request and approval process
  • Coordinate administrative aspects of all grants and fundraising initiatives and tracking of funding and expenditures relating to the Institute’s academic programs
  • Facilitate smooth office functions, including Human Resources and payroll activities, and departmental supplies and maintenance

Event Logistical Support

  • Assist in the logistical organization of programs and events of the Institute and its academic programs
  • Issue speaker invitations and related follow-up in support of all programs and events
  • Draft advertising and email communications relating to programs and events
  • Plan and execute logistical and organizational details for both in-person and virtual formats – for example, space reservation, registration, catering needs for in-person events, and virtual platform usage

Institute Communications Support

  • Assist in communications, including the maintenance of website(s), contact database(s), and social media engagement relating to the Institute and its academic programs
  • Draft regular updates and newsletters to Institute and academic program stakeholders, both internal and external to the Law Center and University
  • Monitor institutional phone and email accounts, and provide timely and professional responses to all communications therein and/or forward the communications to senior team members for further disposition

Office Management

  • Schedule Institute and academic program meetings and take team notes as needed at staff and other relevant Georgetown Law meetings
  • Participate in Law Center C&I meetings and provide notes back to Institute leadership and staff
  • Maintain hard copy and electronic official program and events files

Qualifications

  • Bachelor’s degree
  • Talented multitasker with detail orientation
  • A creative and a natural problem-solver
  • Demonstrable professionalism is required
  • Experience as an executive assistant or similar support position, and the ability and flexibility to work mornings and evenings as needed to support events
  • Proficiency with MS Office Suite

Preferred qualifications

  • Experienced in marketing and communications, social media and website support; managing financial records and budgets; gift and grant administration; and /or meeting and event planning
  • Confident in interacting with both internal colleagues and external constituents, donors, program participants, and VIPS
  • Excellent communication skills
  • Interested in issues relating to technology law and policy
  • Knowledge of Georgetown application systems, social media, and web platforms
