Position Summary
Provides management and administration of the financial and business operations of the Department and each of its Divisions by managing and overseeing the department's accounts payables, accounts receivables, customer contracts, financial reporting, budget/planning, accounting functions, facilities, space planning, and other daily business operations.


Job Description

Primary Duties & Responsibilities

  • Supports the Director, Business Operations in the direction of the fiscal operations of the Department by providing executive level details and summary of the fiscal activities and financial forecasts for the department and each of its Divisions through financial reporting of revenue, expenses, and allocations through various complex pro forma analysis.
  • Responsible for organizing, participating, and managing the collaboration for the preparation, submission, and consolidation of the medical school four-year strategic plan, departmental region P&L financial reports, annual budget, and annual surveys. Serves as liaison to the Joint Office of Strategic Planning and the Medical School’s finance, budget and planning offices as requested by department leadership.
  • Manages, processes, maintains, and provides oversight to functions related to the department’s MyDay HCM/FDM structure including but not limited to chart of accounts maintenance, work tags, non-carryforwards, projects, gifts, grants, endowments and effort profiles.
  • Monitors, develops, and recommends changes to compliance with departmental and external policies, regulations and guidelines for the department’s fiscal operations. In addition, develops, implements, and monitors appropriate internal controls to safeguard the assets of the department.
  • Provides oversight and lead support to the department’s financial services team by providing guidance and mentorship for the departmental customer contracts, accounts receivable balances, accruals, allocations, accounts payable documents, journals, budget amendments, space survey, and ePARS tasks for accuracy, timeliness, and completion.
  • Assists and provides oversight with the tracking, reporting and maintenance of the activities for the Department’s endowment, DFA, and specific purpose funds in collaboration with the Sr. Research Administrator and Director of Research to ensure accurate reporting and fund management.

Job Location

  • This will be a hybrid work location position requiring some days on campus depending on workload needs and deadlines.

Working Conditions

  • Normal office/remote working environment with some pressure caused by deadlines and flexible work schedules.

Preferred Qualifications

  • Master of Business Administration and/or Certified Public Accountant.
  • Extensive expertise in computer applications including Microsoft Excel, Workday and Adaptive.
  • Effective verbal, written and interpersonal communication skills.
  • Demonstrated abilities for accuracy and attention to detail.
  • Ability to maintain security of confidential information.
  • Comprehensive understanding of and practical experience in the end-to-end budgeting process, in an Academic setting, encompassing all of its elements.
  • Proven track record of successfully overseeing and managing a finance team.
  • In-depth knowledge and proficiency in interpreting and analyzing financial statements, with a focus on profit and loss statements and balance sheets.
  • Demonstrate a strong aptitude for critical thinking, along with a proven ability to work autonomously and proactively, even in situations where minimal supervision is provided.
  • Exceptional skills in effectively prioritizing work assignments and efficiently managing time, especially when faced with high-pressure situations and tight deadlines.
  • Ability to plan, organize, direct people, control resources, and think creatively.  
  • Excellent customer service skills, organization skills, oral and written communication skills, and the ability to multi-task are necessary.
  • Experience/knowledge with standard academic/healthcare finance and accounting practices, computers and software (Excel, Word, PowerPoint, Workday) and facility management.
  • Ability to prioritize, work, and act in an independent nature effectively with a broad range of faculty, staff, students, and medical school administration.

Equivalent of bachelor’s degree in finance or related field.

Salary Range
$64,700.00 - $110,500.00 / Annually

The salary range reflects base salaries paid for positions in a given job grade across the University. Individual rates within the range will be determined by factors including one's qualifications and performance, equity with others in the department, market rates for positions within the same grade and department budget.
