The Department of Medicine, Division of Infectious Diseases has an exciting opportunity for a Full-Time Manager, Administrative Operations to work on the UHealth Campus. The Manager, Administrative Operations oversees office activities and services including the supervision of office staff to achieve maximum productivity and expense control. Develops procedures and policies for administrative activities, such as records maintenance, document preparation, mail distribution, reception, and other related internal operations.

  • Assists Department Administrator with divisional operating reports, budgetary reports, and performance measures for faculty and/or staff

  • Issues and interprets operating policies. Manages operational problems, such as faculty and/or staff performance, transfers, etc.; equipment shortages; space, planning, and design needs; etc.

  • Manages divisional clinical and research faculty operations, such as QGenda and Workday time off requests, swap requests, and clinical master schedule

  • Manages faculty performance evaluations, including Y and Z Components and Redcap

  • Manages divisional Grand Rounds and Guest Seminars, including speaker arrangements, travel arrangements, scheduling faculty recruits, honorariums, etc. Oversees departmental, organizational, and/or community collaborations for said events.

  • Prepares special announcements on behalf of the division, such as ORA, Faculty Affairs, DOM, UM and JHS compliance updates, etc.

  • Manages division’s website, including reviewing, writing, and updating content; development page; compliance with University branding, practices, and procedures, etc.

  • Supervises and trains administrative team dedicated to supporting the Division Chief and research faculty and/or staff. Provides guidance and mentorship, prepares and evaluates staff performance reports, and takes human resources actions as needed.

  • Assists with management of divisional gift and endowment accounts (e.g., Hoffman Ratzan; Dickinson Fund), including review and approval of account usage, tracking spending, and end of year summary reports.

  • Assists with development initiatives, including serving as a liaison between development and high-ranking individuals inside and outside the University; silent donations and donor privacy; acting with sensitivity and discretion; etc.

  • Uses situational leadership and conflict management techniques to answer staff inquiries, resolve employee conflicts, address performance issues, etc.

  • May provide ancillary support to physicians, clinical activities, business services, student services, etc.

  • Manages space logistics of the division’s operational locations, including the Clinical Research Building and Converge Miami

MINIMUM QUALIFICATIONS  

  • High school diploma or equivalent

  • Minimum 5 years of relevant experience

  • Ability to accurately prepare and maintain records, files, reports and correspondence

  • Ability to communicate effectively in both oral and written form.

  • Ability to maintain effective interpersonal relationships.

  • Ability to direct, manage, implement, and evaluate department operations.

  • Ability to effectively plan, delegate and/or supervise the work of others

  • Knowledge of business and management principles.
