We are seeking a Mail Distribution Receiving Clerk who will receive and examines incoming U.S. Postal Service (USPS) mail and private carrier shipments (FedEx, UPS, DHL, etc.), sorts and delivers all internal and external mail and shipments for the Homewood campus, off-campus and satellite locations. Secures and moves mail and shipments to designated storage area(s) for processing. Transports mail and shipments to the appropriate office or laboratory after processing. Ensures appropriate and safe handling of mail and shipments. Records appropriate USPS rated mail and packages (Certified, Insured, Express, etc.), shipment pickup (FedEx, UPS, etc.) and delivery using an electronic tracking device (TrackPad). Maintains records of rated mail and shipments.


Specific Duties & Responsibilities

  • Picks up all outgoing interdepartmental, inter-campus, USPS mail, and private carrier shipments (FedEx, UPS, DHL, etc.) from various departments and offices in the Homewood campus. Transports mail and shipments to the appropriate storage area or Distribution Center.
  • Verifies incoming shipments upon receipt against accompanying carrier's waybill or bill of lading to ensure that shipment is correct and complete. Marks and labels shipment with purchase order number, date, and the like as required.
  • Access on-line order system, as needed, if shipping information is incomplete in order to determine correct delivery location. Makes a note of visual damages on the way bill as appropriate and obtains the delivery driver's signature for verification purposes.
  • Sorts interdepartmental, inter-campus, incoming U.S. mail, and incoming private carrier shipments received in the Distribution Center according to destination. Uses web-site directory as needed. Sorts external mail in the Collection Center by type of mail, i.e., first class mail, certified mail, registered mail, express mail, priority mail, Federal Express mail, package service, UPS mail, or DHL mail.
  • Packs and bundles mail, packages and private carrier shipments for delivery
  • Transports external revenue-based mail and private carrier shipments to the Collection Center for outbound processing.
  • Utilizes JHU cargo vehicles to deliver interdepartmental, inter-campus, incoming U.S. mail and private carrier shipments to the various departments and offices at the Homewood, JH@Eastern, Keswick, Mt. Washington, and East Baltimore Campus, as well as other Baltimore Metropolitan locations as assigned (Chandler Building, 405 Washington, 750 Pratt, etc.). Obtains required signature or receipt on mail items and private carrier shipments as appropriate. Transports shipment to the proper office or laboratory.
  • Uses electronic web-based tracking device (i.e., TrackPad) to record and track delivery information and to research delivery status of mail and shipments. Obtains a signature or receipt of mail/shipment as required. Uploads data to the central department database in the Distribution Center or hub.
  • Maintains records of special non-purchase order material received, compressed gas cylinders, dry ice received and shipped, trash containers emptied, and other special records as may be required.
  • Maintains equipment, vehicles and work area in clean and orderly condition.
  • Observes all driving and workplace safety precautions to avoid harming self and others, damaging and/or losing property and/or mail or private carrier items.
  • Observes all safety precautions in the handling of shipments, materials and packing labels to avoid harming self and others, and damaging property.
  • Assists delivery driver in unloading shipments from truck to loading dock as needed.
  • Assists with training of new permanent and temporary employees.
  • Answers routine questions about services provided and refers difficult or unusual inquiries to proper authority.
  • Performs other duties as assigned.


Special Knowledge, Skills & Abilities

  • Ability to drive a light delivery truck or cargo van.
  • Familiarity with the mail and or shipping services provided by the university post office and mail centers including the different mail items handled and proper mail handling, collection, delivery, and sorting procedures.
  • Ability to read and write to maintain records, process incoming and outgoing mail, read bill of lading, labels, and packing slips, and so forth.
  • Work requires standing/walking, lifting, transporting or moving mail and objects up to 70 lbs., and pushing/pulling up to 250 pounds from one location to another.
  • Ability to understand and follow oral and written instructions.
  • Ability to stand, walk, ascend/descend stairs on a regular basis or otherwise move about campus on a continuous basis.
  • Ability to learn how to use current technology (i.e., personal computer, electronic personal digital assistant, TrackPad, etc.) to research and track mail/shipping locations and volumes, and to perform data entry to update status of mail and packages.
  • Ability to interact with faculty, students, staff and the public in order to answer questions, handle routine problems, and to provide assistance in a respectful and courteous manner.

Minimum Qualifications
  • High School degree or equivalent preferred.
  • Two years of experience preferred.
  • Appropriate valid driver's license with good driving record.
