Job Description:

Overview: Working within an environment that is dynamic, positive, and innovative, Tredway Library's administrative assistant coordinates the department's business-related activities, including: preparing purchase orders and processing invoices, purchasing and tracking orders and deliveries, keeping inventories, supporting departmental events and meetings, and providing administrative assistance to the library's faculty and staff. The administrative assistant also monitors and coordinates the day-to-day needs of the library's space within the Gerber Center for Student Life.

Responsibilities:

  • Serve as library building coordinator and key point of contact for other campus offices
  • Monitor library space, and submit and track requests for maintenance
  • Schedule library events
  • Coordinate library space reservations (PBK, 4th-floor lab) and building access
  • Open the library Monday-Friday; provide support to opening student workers
  • Coordinate the purchase and tracking of library supplies, furniture, equipment, and other resources
  • Maintain supply inventory of the paper closet and storage rooms
  • Process lost book requests and billing for circulation and interlibrary loan
  • Handle revenues, including money counts, maintenance, and security of petty cash drawer; and regular transmittal to the Business Office
  • Contribute to planning, coordination, and execution of simple and complex library projects, functions, and events
  • Maintain the library's bulletin boards
  • Maintain and update the procedures manual
  • Provide back-up support to the circulation department as needed
  • Work collaboratively to plan and achieve library goals and priorities
  • Maintain high customer service standards in responding to questions and problems
  • Supervise student workers as needed
  • Other duties as assigned


Requirements:

Education: Two year degree or equivalent experience required

Experience & Skills:

  • One to three years of demonstrated experience providing administrative support for a variety of individuals
  • Excellent organizational abilities; oral and written communication skills; analytical, problem-solving, and project management skills; and attention to detail
  • Strong computer skills, especially Microsoft Office programs and Google Apps; willingness to learn other computer applications as needed
  • Ability to keep business matters confidential and use tact and discretion in business interactions
  • Ability to work with minimal supervision in a fast-paced, team-oriented environment
  • Strong service orientation with sensitivity to the needs of users at all skill levels
  • Commitment to developing and upholding a collegial work environment that is welcoming to people with diverse backgrounds and experiences, including students, faculty, staff, vendors, alumni, and the general public

Physical Requirements: Ability to lift 25 pounds on a regular basis. Ability to listen, hear, speak, read, climb stairs, bend, stoop, and stand for intermittently long periods of time.
