Alumni Affairs and Development is a dedicated team supporting Harvard's advancement activity through front-line fundraising, alumni and volunteer engagement, technology, prospect management and research, business process, events, communications, and many other areas.
AA&D Resources
AA&D Resources encompasses teams that support all units across AA&D plus all schools and units across the University. AA&D Resources includes Technology and Support Services, Business Process and Operations, Alumni and Development Services (ADS), Administration and Finance, Events, Communications Creative Services, Research and Prospect Management, Human Resources, and the AA&D Talent Program.
This role is primarily responsible for administering AA&D's learning management system, the Harvard Training Portal (HTP), to advance continuous learning of the Alumni Affairs & Development (AA&D) office, and its many institution-wide stakeholders. As a member of the Talent Management team within AA&D, this position oversees the creation of courses within the HTP, distribution of course materials, allocation of credit for attendance, and reporting from the HTP portal. They will also actively administer the course calendar for AA&D Talent Management, monitor schedule conflicts, and maintain Talent Management's calendar on The Source (AA&D's intranet resource).
While not an exhaustive list, the target audiences served by this role include: the central AA&D team, University-wide AA&D colleagues, and University-wide AA&D application users.

Position Description

Administer Talent Management team-wide use of Harvard staff learning management system (currently the Harvard Training Portal).
  • Create and maintain courses and classes for all delivery configurations.
  • Manage class enrollments, cancellations, no-shows, etc.
    • Deliver class training materials to learners enrolled
    • Coordinate with Service Desk or others to determine and request access needed for learners in classes
    • Manage communication regarding pre-work or access to learners enrolled
    • Weekly production of, and subsequent updates to, email template used to contact learners registered for the following week's classes with pre-attendance details
  • Maintain training records (ex: rosters, attendance lists)
  • Maintain training course to rights identifiers crosswalk in USMART application
  • Maintain class evaluation survey for suite of instructor-led trainings delivered by Talent Management
  • Manage class report delivery to instructors and others as needed
  • Troubleshoot LMS issues as they arise
  • In partnership with the director, implement new LMS features, options, strategies
  • In partnership with the director, produce quarterly learning program results reports (a/k/a Key Performance Indicators reporting – KPI)
  • Maintain Source calendar with up-to-date information about learning opportunities
  • Serve as session producer for instructor-led trainings facilitated over Zoom by talent management colleagues. This includes trouble-shooting technical issues, monitoring chat questions, and assisting the facilitator as needed.

Basic Qualifications

  • High School Diploma
  • 2 years of professional experience, preferably including administering a learning management system and/or registration database
  • Advance experience (or similar advancement CRM) experience strongly preferred
  • Experience providing support, especially regarding technology application(s)
  • Ability to work nights/weekends/overtime as a part of annual reunions and spring alumni programs

Additional Qualifications and Skills

  • Technical Proficiency: Demonstrates proficiency in using tools and applications and understands how those tools and applications are used to serve the work of AA&D. Learns and adapts to evolving and/or emerging technology solutions. Familiarity with HTML, CSS, and basic web technologies is preferred.
