Job Summary:

The University of San Francisco School of Law is seeking a highly motivated, dependable, customer-service-oriented and administratively skilled student assistant to support the Deans’ Office. The Student Assistant reports to the Assistant Director of Administrative Services and assists with a variety of administrative, program support, and event management tasks.

Primary Responsibilities

ACADEMIC

  • Assist in support of academic programs
  • Photocopy, compile, and distribute packets of material
  • Proofread data-driven excel documents
  • Assist in preparation and execution of administrative events such as faculty and committee meetings

STUDENT SERVICES

  • Assist in preparation and execution of a wide variety of events such as Orientation Week, team-building activities, receptions, student organization events, and Commencement.
  • Assist in the creation of desktop publishing documents that support events, such as brochures, flyers and certificates
  • Assist with planning for volunteer activities for staff and students

FACILITIES

  • Assist the Assistant Director for Administrative Services in support of the operation of the law school building, including reporting matters that need attention and/or repair, removing outdated event posters or inappropriate posted materials; monitor food service, vending machines, room temperature, and recycling

OTHER

  • General office duties including answering phones, greeting visitors, mail distribution, work room and lounge inventory, ordering supplies, cleaning up after events, ordering food, errands to main university campus, storage rooms maintenance, and occasionally lifting no more than 35 lbs. (returning folding tables to storage).
  • Additional duties as assigned

Desired Qualifications

We are looking for a responsible and dependable student assistant who can readily adapt to changing priorities and who wants to join our team.  It is not necessary to have solid experience in all of the areas listed under Responsibilities above – it is more important to have exposure to administrative office work, a professional demeanor, and demonstrated ability to interact and communicate effectively (both in writing and verbally).  Please include a cover letter with your application.

Work Environment

This is a 10 – 20 hour per week position in a professional fast-paced academic office. The position hours may be flexible within 8:30am – 5:00pm but need to be set in advance with the Assistant Director’s approval.  We adhere to high standards and a high degree of respect of the people who work and study here.  Punctuality, a positive attitude, and a quest for excellence, are critical.
