Laboratory Safety Compliance Manager, Department of Environmental Health & Safety

Non-exempt/MR: 06

The University of Tennessee Knoxville, Public Safety, Department of Environmental Health and Safety, invites applicants for the position of Laboratory Safety Compliance Manager. This position will provide comprehensive management of research safety-related compliance committees, including: 1) the Institutional Biosafety Committee (IBC) overseeing research involving recombinant/synthetic nucleic acids molecules; 2) the High Hazard Chemical Committee (HHCC) charged with oversight of procedures involving particularly hazardous, highly reactive, and highly regulated chemicals as described in the OSHA Laboratory Safety Standard (29 CFR 1910.1450); and 3) the Laboratory Safety Committee (LSC) charged with leading and innovating laboratory safety and laboratory safety culture.

Principal duties include:

Committee Coordination

·          Schedule meetings and organize meeting logistics

·          Keep active committee rosters and associated records (e.g. curriculum vitae) and file with oversight agencies as required (e.g. NIH)

·          Maintain committee charters, bylaws, and standard operating procedures

·          Create meeting minutes in accordance with mandated content

·          Create and maintain a system to track committee action items to closure

·          Maintain currency committee-related web content 

·          Similarly coordinate subcommittees or working groups of the indicated committees (as necessary)

 

Workflow Management & Documentation

·          Manage web-based registration (protocol) submission system, which includes: routing according to established review procedures; tracking the technical review/change request process to completion; ensuring authorization by all designated stakeholders; and issuing final approval letters

·          Monitor expiration deadlines to prevent lapses in compliance

·          Perform congruence checks with other research compliance approvals (e.g. Institutional Animal Care & Use Committee, Institutional Review Board, grants/contracts, etc.)

·          Consult, advise, and provide guidance to UT faculty and staff stakeholders, including developing tutorials tools and providing real-time support

·          Develop or improve registration/protocol form content to meet the needs of the respective committee and/or affected end users

·          Maintain and mine compliance records, compile data, and prepare summary reports at the discretion of the lab safety program leader and/or committee leadership.

 

Committee Training & Development

·          Identify training needs for committee members and coordinate with subject matter experts to ensure training is received and documented

·          Assist with the development or revision of applicable compliance training for the research community and other applicable external stakeholders

·          Periodically benchmark regulatory agency requirements and recommended best practices material and summarize findings to the lab safety program leader and/or committee membership

·          At the discretion of the program leader, pursue professional certifications in compliance committee management

 

Laboratory Safety Program Support

·          Assist with date entry and organization

·          Establish methods for document version control

·          Write or revise procedural documents, particularly those related to committees

·          Assist with logistics of engagement/outreach events (e.g. Lab Safety Awareness Week, Biosafety Awareness Month, promotional tabling events, etc.)

·          Maintain compliance-related timetables

 



Qualifications

 

Required Qualifications:

Bachelor’s degree in a relevant field and two (2) years of experience with administrative coordination preferably gained working in a scientific field of research; research administration, research compliance, or research safety; occupational/environmental health and safety, or closely related field. Research experience gained as an undergraduate or graduate student OR a completed bachelor’s or master’s degree in one of the following fields (biology, chemistry, natural sciences or occupational health/safety) may be substituted for up to one (1) year of experience.

Must be a US citizen and possess a valid driver’s license.

 

Preferred Qualifications:

·       Experience in biology, chemistry, or related natural science

·       Experience in implementing and/or managing compliance programs

·       Experience in higher education or research environment

 

 

 

Professional Skills:

·       Ability to work collaboratively and gain rapport with persons of various social, cultural, economic, and educational backgrounds

·       Strong communication skills, both verbal and written, using appropriate vocabulary and grammar to obtain information, explain procedures and situations, and persuade others to address compliance-related deficiencies

·       Technical skills related to computer operation, Microsoft applications, database use, and data analysis to generate well-formatted reports

·       Knowledge of or ability to learn data and learning management systems, e.g. SafetyStratus, SafetyCulture, and Canvas

·       Ability to work independently and follow through on work assignments with minimal direction
