Position Summary
Reporting to the Director of Information Technology, this position coordinates, manages, and completes within budget, on schedule, and within scope, the assigned IT Business Projects and Initiatives within the School of Continuing and Professional Studies (CAPS). This position will also play a key role in evaluating, analyzing, and ensuring technology systems, internally and externally to CAPS, are continually (re) aligned with business and user goals.


Job Description

Primary Duties & Responsibilities

IT Business Alignment with Strategic Plans and CAPS Goals

  • Collaborates with CAPS business leaders and stakeholders to define, prioritize, and develop IT projects.
  • Maintains a CAPS Business Requirements Library that prioritizes and governs CAPS consumed IT systems.
  • Functions as a Business Analyst, responsible for discovering, validating, documenting, and communicating business processes and requirements for complex IT projects.

Project Management

  • Manages assigned IT projects in CAPS.
  • Coordinates with different departments (CAPS & WashU), vendors, and stakeholders to create detailed project plans with clear objectives, timelines, business requirements, deliverables, staffing requirements, constraints, scopes, and defined risks following a Project Management Office framework.
  • Assembles and leads cross-functional project team; assigns tasks and responsibilities to team members; coordinate implementation activities; collects feedback from the implementation team to assess potential risks and issues related to the project and develops mitigation strategies.
  • Compiles and maintains project documentation, including project plans, reports, records of project-related activities, and issues log.
  • Conducts research and analysis to gather data and information necessary for project planning and decision-making.

Performance Management

  • Provides regular analysis, reporting, and updates of project status, remediating problems as they arise, effectively communicate risk, and manages accountability of project team members to ensure project success.
  • Assists in developing and implementing change management strategies to ensure a smooth transition to the new system.
  • Assists in training and support on methodologies for best practices for project management and model ideal processes for CAPS.
  • Organizes and coordinates meetings, special events, workshops, and other activities related to the project.
  • Assesses the impact and effectiveness of projects and initiatives.
  • Projects Budget tracking.

System Management

  • Assists in training and support of administrative IT and project systems.
  • Assists in training and support of assigned CAPS specific technology systems.

Other Duties

  • Performs other duties as assigned.

Preferred Qualifications

  • Previous experience in project coordination or management.
  • Project Management Certification. 
  • Demonstrated career progression in education technology-related projects and business analysis and alignment. 
  • Experience with ITIL framework.
  • Ability to manage multiple tasks, work collaboratively with various stakeholders, and ensure successful project execution.
  • Strong analytical skills and the ability to assess the impact of system changes on various stakeholders.
  • Knowledge of higher education policies and practices.
  • Ability to learn quickly and adapt to changes in priorities and demands. 
  • Outstanding attention to detail, quality, and accuracy.
  • Excellent interpersonal and communication skills (written and verbal); a service-oriented communicator who supports colleagues at all times. 
  • Strong time management skills; ability to meet challenging deadlines with varying degrees of pressure.
  • Ability to multi-task, prioritize, work independently and collaboratively, and make decisions.
  • Enthusiastic, self-motivated, hardworking, and outgoing individual with a positive and adaptable approach to problem-solving.
  • Ability to use Microsoft Office Products.


Required Qualifications

Undergraduate degree plus a minimum of two years of experience in a related field; additional project management experience in the field of work may be substituted for the required education.

Salary Range
$64,700.00 - $110,500.00 / Annually

The salary range reflects base salaries paid for positions in a given job grade across the University. Individual rates within the range will be determined by factors including one's qualifications and performance, equity with others in the department, market rates for positions within the same grade and department budget.
