Reporting to the Administrative Manager, the Iacocca Institute Program Manager provides comprehensive administrative support to a portfolio of programs and initiatives. The Program Manager is expected to engage as a member of the Institute operations team, attending all operations meetings and contributing experience/expertise and support of broader Institute initiatives, in collaboration with Program Directors and the Executive Director. This position is a Grade: 8-40 with an approximate salary range of $45,490-$54,600 and is subject to change based on experience, skills and qualifications

1. Provide support for Iacocca Institute programs, projects and events and serves as a contributing member of the Institute operations team (40%)
• Assist the Administrative Manager with the day-to-day operational needs. Serve in a secondary operations role when assigned
• Support the planning, preparation, execution and documentation of on- and off-campus events and programs, including but not limited to the scheduling and management of event spaces, administering event-related correspondence, event set-up and coordinating food service and media needs
• Provide or arrange for technical support for virtual and hybrid events and programs
• Participate in site visits and group trips serving in a primary or secondary support staff role
• Assist with maintaining and enforcing policies, procedures and safety practices
• Assist with travel logistics for program participants, faculty and staff

2. Maintain department data and appropriate documentation (30%)
• Responsible for the data management, collation and documentation of program participants, including online program applications and all supplemental material through acceptance, program participation and post-program surveys
• Create surveys and collect data using programs such as Qualtrics and Google Forms
• Ensure that the data collected is accurate and remains confidential and that the transmission of confidential data is sent securely to the appropriate Lehigh University personnel and external constituents
• Administer post-program evaluations; collate and present the data and information collected
• Create and maintain a photo database and archive system, tracking each photo in support of programming initiatives. Maintain news and other content archives for easy reference and use in proposals, reports and presentations
• Provide support for onboarding for work-study students and temporary staff including hiring documentation, payroll and scheduling

3. Assist with department communications (15%)
• Monitor office email accounts and manage inquiries and information, ensuring accurate and timely distribution to the appropriate individuals for resolution
• Assist with maintaining and updating the website, monitoring social media platforms and sending email marketing campaigns
• Help collect content for social media posts and other communications projects
• Serve as an on-campus ambassador for Iacocca Institute programs and initiatives

4. Support business and financial operations (15%)
• Responsible for supporting the day-to-day financial functions associated with the Iacocca Institute and programs while ensuring that all transactions are accurate and conform to Lehigh University compliance standards
• Review expenses and revenue and with the Administrative Manager, create quarterly budget/expense reports
• Manage all expenses related to programs and events, including but not limited to the timely payment of invoices, expense allocations and the reconciliation of credit card statements
• Identify and evaluate solutions to improve cost efficiency within and across programs

This position works with minors

This position is responsible for driving University-owned vehicles as a routine function, therefore a valid Driver’s License and a good driving record is required

The duties of the position do not allow for a remote work option; the employee in this position will be required to work on campus where they can be fully accessible to the Lehigh community

Qualifications

Bachelor's Degree or the equivalent combination of education and experience

Three to five years of related work experience

Excellent communication and interpersonal skills

Exceptional attention to detail and proven ability to manage multiple tasks simultaneously and a high degree of initiative for bringing tasks to completion

Excellent organizational skills, time management and sound judgment

Excellent computer skills with experience using word processing, spreadsheet, database and presentation software

Adept use of digital communication preferred

Team oriented

Successful completion of standard background checks including but not limited to: social security verification, education verification, national criminal background checks, motor vehicle checks, PATCH, FBI fingerprinting, Child Abuse Clearance and credit history based upon the requirements of the position
