Position Summary
Primarily responsible for maintaining employee benefits and retirement records in SAP. Coordinates directly with the Benefits & Wellness Office on matters involving the CMU Choices benefits program including health insurance, life insurance & disability, FSA & HSA plans and retirement plans. Processes enrollments, terminations, and changes to enrollments. Maintains and updates SAP and administers COBRA. Researches, analyzes and resolves program and data issues identified by the Benefits & Wellness Office or by others within SAP/HR unit. Participates in system testing of rates & benefits changes. Responsible for vendor interface files and report generation. Makes recommendations for process improvements, as necessary. Provides secondary support to HR Systems Analyst(s) in processing transactions and auditing/formatting of SAP data reports for completeness and accuracy.
Required Qualifications
Education equivalent to an Associate’s degree or equivalent combination of education and experience.
Two years of qualifying experience in benefits, payroll or human resources department setting.
Demonstrated ability to function in a technical on-line systems environment.
Demonstrated proficiency with MS Word and Excel.
Demonstrated problem solving, analytical, attention to detail and organizational skills.
Demonstrated ability to interpret, analyze and comprehend system-related issues.
Demonstrated ability to communicate effectively and project a positive attitude.
Ability to perform the essential functions of the job.
Preferred Qualifications
Two or more years of verifiable clerical or technical experience maintaining employee benefits, retirement or other HR-related records in a HR information system, preferably SAP/HR.
Duties & Responsibilities
Enters all employee benefit enrollment data into the University’s system-of-record (currently, SAP) including retirement elections, employee deductions, dependent records and demographic changes; computes employer contributions and employee payroll deductions; works with Benefits & Wellness, Faculty Personnel Services and Payroll on retroactivity issues and benefit processing issues; conducts testing as required; and prepares and distributes reports.
Performs system testing for updates to premium and contribution tables and codes in SAP system and online benefits enrollment application.
Creates data extracts and downloads to provide management reports for special projects such as bidding and request for proposals, benefit management reports, enrollment activity reports, and special ad hoc data requests.
Works closely with Benefits & Wellness, Payroll, Employment Services, Faculty Personal Services and Global Campus to ensure that benefit processing occurs in an effective and efficient manner; simulates paychecks and troubleshoots to resolve benefit related payroll issues including retroactivity/arrears.
Handles system processing of benefits status change elections, generation of COBRA qualifying event notices and related tasks; completes the necessary system entries to set up new employees for online benefits enrollment; resolves employee issues identified by Benefits & Wellness Office and/or SAP/HR team; troubleshoots situations and resolves employee benefit problems.
Completes FSA and HSA deductions for annual elections in SAP, transmits payroll deduction data to vendor, audits payroll deductions and processes end of year reporting.
Responsible for running audit reports prior to every payroll entry deadline to ensure accuracy and to eliminate potential for errors in data entry and benefits processing; corrects errors immediately in order for payroll processing to run correction on schedule, and notifies applicable departments and/or employee of errors.
Prepares and sends enrollment data to vendors using standardized interface files.
Responsible for annual child eligibility audit for health and life insurance coverages and processes corresponding changes in SAP.
Responsible for entry of employee retirement elections and tax-deferred salary reduction elections; performs system uploads associated with tax-deferred annual maximums; investigates and resolves retirement and tax-deferral processing issues (which may include mistake of fact processing); resolves retirement contribution and tax-deferred contribution errors and problems. Immediately notifies supervisor when such errors occur.
Creates report of new hire demographic data, transmits to ORS in order to determine participation in MPSERS retirement programs, enrolls new hires in appropriate retirement program (MPSERS or 403(b) Basic Retirement Plan), identifying one-time irrevocable choice eligibility and works closely with other staff to communicate with employee.
Coordinates benefit related system entry process for retiring and terminating employees, including entry of tax-deferrals and benefit adjustments for final pay as well as resolves any payroll issues.
Processes system changes within applicable timeframes for IRS benefits and retirement/tax-deferred changes.
Conducts initial research and troubleshoots for benefits-related SAP functionality.
Corrects system problems by analyzing situation to determine cause/effect as well as resolution.
Serves as secondary support for HR Systems Analyst(s) assisting with the processing of some staff transactions, the auditing of reports for completeness and accuracy, and the formatting of SAP data reports before being released to the user departments.
