Position Summary
This recruitment will be used to fill three part-time (a maximum of 24 hours per week) HR Student Assistant positions for the Student Employment Center within University Human Resources (UHR) at Oregon State University (OSU).
The Human Resources Assistant (HR Assistant) will provide critical administrative and technical support to the Human Resources Service Center (HRSC) located within University Plaza (UP). This includes the Student Employment Center (SEC), HR Support Services (HRSS), and Employment Services (CHC).
Position Duties
  • Greet and assist walk-in traffic. Serve as first and main point of contact for HRSC
  • Assist new student employees with I-9 processing and New Hire Forms (DocuSign, Benny Hire, OnBase)
  • Answer questions and direct as needed to HRSC employees
  • Answer and monitor the SEC general service phone line
  • Monitor the SEC general email inbox (Outlook)
  • Assist with drafting student employment job posting requests
  • Upload employee job forms to document imaging software (OnBase) and route accordingly
  • Distribute Notice of Appointment letters for current faculty/staff
  • Sort and distribute HRCS campus mail
  • Other general office duties as assigned

  • Must be academically enrolled in a high school, community college, or university and pursuing a program or course of study
  • Must meet Academic Standing Requirements; students on academic suspension are not eligible for employment
  • Must meet the applicable minimal enrollment standard
    • High School student: Regularly enrolled in a high school or participating in a home-schooling program
    • Undergraduate and post-baccalaureate student: 6 credit hours per term
    • Undergraduate international student: 12 credit hours per term*
    • Graduate student officially admitted to Graduate School: 5 credit hours per term
    • Graduate international student officially admitted to Graduate School: 9 credit hours per term*

*International students may be allowed to carry fewer hours than specified above and still be considered “full-time” by the United States Citizenship and Immigration Services (USCIS). A reduced course load is approved by the Office of International Services (OIS), and must be provided to the Student Employment Center.

This position is designated as a critical or security-sensitive position; therefore, the incumbent must successfully complete a criminal history check and be determined to be position qualified as per OSU Standard 576-055-0000 et seq. Incumbents are required to self-report convictions and those in youth programs may have additional criminal history checks every 24 months.
Preferred (Special) Qualifications
  • Previous customer service experience
  • An interest in the Human Resources field
  • Familiarity with DocuSign, Microsoft Office/365 (Outlook, Word, Excel), Adobe
  • A demonstrable commitment to promoting and enhancing diversity
Working Conditions / Work Schedule
  • Work will be performed in an office environment, during office hours (Monday-Friday, 8am-5pm)
  • The HR Assistant may be required to work between 20-24 hours per week during the academic year and up to 40 hours during the summer term and breaks
  • Schedule will be based on business need and in-conjunction with another HR Assistant
  • Start date is flexible.
