Human Resources Operations Coordinator

Princeton University’s Office of Human Resources seeks a dynamic HR Operations Coordinator to support the customer service and office operations needs of the department. This is a great opportunity to learn about various aspects of a large and high performing HR department.  The position serves as a receptionist, representing Human Resources to employees and the public by providing exceptional customer service on a wide variety of issues.  The Coordinator is responsible for building management duties to ensure office operations needs are met. This position also handles sensitive information such as verifications of employment and income.

 

We are seeking an individual with excellent communication and organization skills, problem solving abilities and who thrives in a collaborative environment.  The successful candidate is someone who takes pride in providing exceptional customer service, is flexible and adaptable to needs of HR team.  Ability to juggle multiple priorities is essential. This position requires working onsite five days per week in the Office of Human Resources.

Customer Service and Program Administration

  • Answer a high volume of telephone calls and emails for HR department. Perform first tier research and response on HR policies and procedures to address employee questions.
  • Refer and escalate inquiries to appropriate HR functional team or University department.
  • Greet visitors and assess their needs.  Maintain reception area, including compliance notices.
  • Perform verifications of employment and income.   Administer Public Service Loan Forgiveness Program.  Ensure confidential and sensitive information released is within policy and proper consent is obtained.
  • Interface with Office of General Counsel on subpoenas and external requests for employee records.  Ensure that requests are fulfilled in timely fashion to meet deadlines.
  • Provide general administrative and project support to Talent Acquisition team members.

 

Office Operations and Facilities Management

  • Serve as facilities management coordinator for HR department.   Address workspace and building management issues.  Interface with building management, vendors and University departments to ensure issues are resolved satisfactorily.
  • Monitor inventory and order office and kitchen supplies. Maintain supply room and pantry.  Coordinate vendor services such as shredding, water delivery, etc. 
  • Oversee electronic access badges for staff, contractors and vendors.
  • Manage issuance of parking passes and online room scheduling system.
  • Maintain mail room, handle incoming and outgoing mail and packages.


The position requires 1- 3 years prior related work experience with strong customer service skills, ability to work independently and to juggle multiple tasks.  The coordinator needs to be organized, accurate, and detail-oriented. The ability to handle confidential information, work collaboratively, and research information to clarify and resolve issues is necessary. The individual must have excellent communication skills and the ability to interact with a diverse customer base. Ability to take initiative, self-supervise and function autonomously is necessary as is excellent judgment. Proficiency with MS Office and willingness to learn new technologies is required.  This position requires working onsite five days per week in the Office of Human Resources.
