The University of Texas at Dallas has an excellent job opportunity for an individual looking to join UT Dallas as an Leave Coordinator in the Office of Human Resources department.
The Leave Coordinator position will effectively coordinate and track employee requests for extended absences under The Family Medical Leave Act and other leaves of absence programs including, but not limited to Parental Leave, Military Leave, Paid Leave, etc. The Leave Coordinator will assist in determining employee eligibility and final designation.
Working with the Leave Administration Team, the Leave Coordinator will communicate regularly with all necessary parties regarding the status of employee leaves of absence and effectively coordinate all cases to include general administration, comprehensive case management and program compliance with the FMLA and all related employment laws. The Leave Coordinator will provide exemplary customer service and assistance to employees and leadership.
Minimum Education and Experience
- High School diploma or equivalent 
- 2 years of HR or administrative experience

  • Associate or Bachelors Degree or 4 years of HR or administrative experience
  • Proficiency with MS Office

  • Experience with PeopleSoft – Leave and/or Benefits Administration Module is desirable.
  • Ability to execute, implement, monitor, and complete multiple tasks successfully in accordance with established timelines with limited supervision
  • Strong analytical, organizational and computer skills

  • Ability to communicate effectively verbally and in writing Excellent customer service skills

Essential Duties and Responsibilities
This position will assist in the administration of the UT Dallas Leave Programs including FMLA, Parental Leave, Sick Leave Pool and paid time-off (sick/vacation) and other state and federal required leave programs.
  • Provide administrative support to the Leave administration area of HR-Benefits Department.
  • Assist with process of the intake of leaves and sending out leave packets. Assist in the preparation of approval documents (FMLA notice of eligibility, FMLA designation, approval emails and leave trackers). May provide approval on requests for leave in accordance with the leave policy and guidelines as needed.
  • Respond to LOA emails and phone calls as needed.
  • Provide assistance with explaining the leave process and other options available.
  • Coordinate with other areas of UTD such as Employee Relations and Worker’s Compensation in the managing of Leaves.
  • Assist with Leave Administration record keeping. Update leave electronic records, leave and sick leave pool databases, and can upload records to OnBase as needed. Update and manage FMLA/LOA procedures on G drive and ensure Leave files are maintained properly and accurately on the G drive.
  • Assist in the reviewing and processing all incoming prior state service requests and inquires. May also assist in processing all leave balance transfers for incoming employees. Audits generated report/data related to prior state service verifications. Communicate any discrepancy to state agency and UT institutions and inform employee’s accordingly. Adjust balances based on audit.
  • Assist in the Administration of the UT Dallas Paid Time Off (PTO/Leave) Programs by auditing employee leave records to ensure accuracy of leave accruals and balances. Assists in the interpretation of leave policies and guidelines as needed.
  • Assist with responding to leave balance inquiries in a timely and accurate manner.
  • As needed, may assist in performing leave audits and communicate with departments regarding employees’ leave balance issues and make required adjustments in PeopleSoft system.
  • Assist with the review employee eligibility changes monthly for vacation payouts upon loss eligibility status as needed.
  • Assist with the review and audit employees on not processed list and assist leave analyst in communicating discrepancies to employees and their departments. Adjust leave balances in PeopleSoft system as needed to correct leave balance discrepancies.
  • Back-up for the Leave Administration Manager and Leave Analyst positions.
  • Perform necessary administrative duties necessary to accomplish tasks including document scanning, and sending/receiving faxes.
  • Assist with other projects in the Benefits department as assigned
Physical Activities
Working Conditions Other - Normal Office environment. The noise level in the work environment is usually moderate. Travel is integral to this position to campuses and department locations throughout UTD.

REMOTE WORK AVAILABILITY
This position is eligible for a hybrid (partly remote/partly in office) work schedule, subject to business need and manager approval. Training will be onsite for the first 3-5 weeks, as necessary. May be required to use personal computer and other standard office equipment. Must be located within the DFW Area and have the ability to be on campus with 24 hours of notice. A UT Dallas Remote Work Agreement will be required within 14 days after approval.
