General Statement
The Office of Human Resources is committed to actively supporting Montana State University’s mission and strategic objectives through dedicated leadership, guidance, and comprehensive administration in key areas such as classification, recruitment, payroll, benefits, and employee and labor relations.
Duties and Responsibilities
The Human Resources Associate – Service Center provides a broad spectrum of services, encompassing communication with campus personnel, procedural guidance, and troubleshooting. This involves analyzing situations, conducting research, exercising sound judgment to achieve resolution, and maintaining confidentiality.
Onboarding New Employees:
  • Facilitate the onboarding process for new hires, ensuring timely completion of necessary paperwork and participation in orientation programs.
  • Assist new employees with understanding company policies, and procedures.

Employee Records Management:
  • Maintain accurate and up-to-date employee records in compliance with university policies and federal regulations related to hiring, position changes, departures, and other personnel actions.
  • Process and manage employee data efficiently and securely within established systems.

Relations and Support:
  • Answer frequently asked questions from employees regarding standard HR policies and federal procedures.
  • Provide accurate and timely information while demonstrating a helpful and professional demeanor.
  • Refer more complex inquiries to appropriate HR staff or management for further assistance.
Required Qualifications – Experience, Education, Knowledge & Skills
1. Administrative Experience: Prior experience in administrative work with a demonstrably strong focus on customer service within a main office setting or an equivalent combination of relevant education and/or experience.
2. Communication and Information Accuracy: Proven ability to effectively interpret and communicate complex information, procedures, and directions in both written and verbal formats (in-person, telephone, and business correspondence) to a wide variety of individuals.
3. Organizational and Time Management Skills: Demonstrated competence in managing multiple work assignments simultaneously, meeting deadlines consistently, and adapting to changing priorities while maintaining a professional demeanor.
4. Document Creation and Editing: Proven experience designing, writing, editing, and formatting professional documents such as reports, business correspondence, spreadsheets, and brochures.
5. Software Proficiency: Demonstrated competence in operating personal computers and various software applications, including word processing, spreadsheets, databases, presentations, email, and internet usage. Microsoft Office software is preferred.
Preferred Qualifications – Experience, Education, Knowledge & Skills
1. Proven experience effectively delivering training and presentations to both small and large groups.
2. Demonstrated experience gathering and compiling information to analyze and evaluate complex human resources-related matters.
3. Proficiency in human resources policies and procedures.
4. Experience working with multi-relational databases.
5. Combination of education and/or applicable experience equivalent to a Bachelor’s degree in Human Resources or other related field or experience in Human Resources.

  • Demonstrate a commitment to accuracy and thoroughness in all work products.
  • Exhibit a strong desire to expand knowledge, acquire skills, and actively seek new projects and challenges.
  • Consistently represent the Office of Human Resources with professionalism, a positive attitude, and a well-maintained appearance, fostering a positive image across campus.
