JOB DESCRIPTION AND POSITION REQUIREMENTS:


The Penn State College of Medicine, Department of Human Resources in Hershey, PA is seeking a Human Resources Assistant to process and monitor HR transactions, monitor information within online HR systems, and resolve complex questions by providing detailed explanation relating to the processing of University policies and procedures. 

The successful candidate will be responsible for the following: 


  • Process, approve and monitor human resources and payroll forms (i.e., re-appointment, leaves, wage payroll, pay increases, etc.) 

  • Perform calculations and pay adjustments as necessary; enter information into human resources/payroll systems 

  • Process and monitor payroll; perform calculations and pay adjustments as necessary 

  • Collect, coordinate, and process new employee onboarding and appropriate employment and benefits documentation; interpret, explain and provide guidance in one or more areas of expertise such as benefits, Visas, and I-9s in accordance with applicable Federal/State laws and University policies 


  • Work with the Recruiter on the hiring process; post vacancies, arrange advertisements

  • Coordinate deadlines for various human resources processes or events; assist with the coordination or administration of human resources programs and maintain up-to-date records of actions, decisions and timeframes

  • Coordinate/monitor required clearance documents associated with employment

  • Assist in the new employee orientation facilitation process

  • Monitor information within on-line HR systems (e.g., attendance system, staff announcements system, employee self-service systems, etc.) for accuracy and further action; may provide training in the use of these applications 

  • May identify and maintain lists such as employees requiring certifications or seniority listings 

  • Create, monitor, and maintain databases and queries 

  • Generate reports from various human resources tables/databases; monitor changes and notify appropriate authority for further action within the given timeframe 

  • May recommend or advise supervisor/manager of further action necessary to complete human resources process related tasks 


This position requires an Associate’s degree or higher plus 4 years of related experience or  an equivalent combination of education and experience. 

Preferred Qualifications: Excellent interpersonal skills, high level proficiency with HRIS/Excel etc.

This position has the potential to work remotely on an interim or partial basis.

  • Federal Bureau of Investigation (FBI) Criminal Background Check

The pay range for this position, including all possible grades is:

$38,300.00 - $61,000.00
