HR Jr. Specialist - Eastern Long Island Hospital

Position Summary

The HR Jr. Specialist, under the general guidance of the Assistant Director of Human Resources, acts within established guidelines to ensure smooth and efficient daily Human Resources (HR) activities for Staffco/Stony Brook Eastern Long Island Hospital. The purpose of this position is to perform professional and analytical work in a variety of human resources program areas which may include one or more of the following: Recruitment, payroll functions, benefits administration, and labor & employee relations. Provides responsible staff assistance in the administration of a comprehensive human resources management program; and provides professional, effective, and efficient service and assistance. Communicates area of assignment to employees including, health, dental, life, and disability insurance; light duty assignment, return to work programs, FMLA, & COBRA. The HR Jr. Specialist is responsible for accurate upkeep of comprehensive employee, medical, and payroll records.

Duties of the HR Jr. Specialist may include but are not limited to the following: 

  • Support and deliver HR-driven project or continuous initiatives and administers various human resources plans and procedures.
  • Ensure smooth communication with employees and timely resolution to their queries.
  • Liaise with employees, supervisors, managers, co-workers in problem resolution.
  • Assists with recruiting by initiating background checks as needed.
  • Collaborates with the HR Specialist and HR Coordinator to plan and facilitate new hire orientation and on-boarding activities to assure a smooth transition to the organization. Present various new hire orientation program topics (e.g. benefits; HR policies).
  • Acts as the primary point of contact for ELIH’s various benefit programs inquiries including assisting with open enrollment, orientations and providing day to day administration. Provides accurate information regarding benefit plans and policies.
  • Inputs and maintains all benefits related information for all employees in the appropriate systems. Ensures the accuracy of all data including third party vendor systems. Assists with performing benefit audits.
  • Serve as the liaison for various leave of absence requests including FMLA, STD, and DBL.
  • Assist in the implementation and upkeep of the annually performance reviews, compensation program, & job description updates
  • Maintains employee information in ADP and assists with day-to-day questions and updates to ADP Time Management system.
  • Coordinates an annual purge of outdated HR paperwork. Performs various administrative and support functions in support of department operations including file maintenance, scheduling, report generation, invoice reconciliation and payment and preparation of correspondence.
  • Maintaining confidentiality concerning personnel actions, legal actions, termination, and organizational plans.
  • Provide information, assistance, and guidelines needed to comply with company policies, procedures, federal and state employment laws, and E.E.O.C regulations.
  • Will be required to perform other duties as requested, directed, or assigned.

Qualifications

Required:

  • Bachelor’s degree in business administration, Human Resources or related field and at least 1 year of HR admin experience or, in lieu of degree, at least 5 years of full-time Human Resources experience.
  • Good understanding of general HR practices and employment regulations.
  • Strong organizational skills with the ability to prioritize, plan, organize, and manage administrative tasks.
  • Strong organizational and analytical skills must be methodical, accurate, and have the ability to manage multiple priorities.
  • Strong communication and interpersonal skills.
  • Excellent customer service and team orientation.
  • Proficient in MS Word, Excel and Outlook; experience with an HRIS application preferred.
  • Understanding the importance of employee and company confidentiality.

Preferred:

  • Experience working as a HR Assistant or HR Coordinator
  • HR experience preferably within the Healthcare industry
  • Union experience
  • SHRM/PHR certification
  • Experience working with ADP and HealthStream (LMS)
  • Strong Excel skills

Working conditions: While performing the duties of this job, the employee regularly works in an office setting.

Physical requirements: Ability to lift 5 to 10-pound boxes on occasion.

Physical Demands:  The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.  While performing the duties of this job, the employee is regularly required to communicate with patients, staff and medical providers. The employee must be able to exchange accurate information in these situations.  This position is active and requires the employee to constantly move about in the office to assist patients, staff and medical providers.  The responsibilities and tasks outlined in this job description are not exhaustive and may change as determined by the needs of ELIH.
