Position Summary
As an integral part of the Law School, this position reports to and supports the Assistant Dean, Administrative Services, and coordinates with University HR, Payroll, and all Law School departments, to initiate all personnel and pay-related actions for all Law School positions while adhering to all University, Federal, and State guidelines. An understanding of all HR policies and procedures relevant to recruitment, pay, and employee benefits, and the intricacies of the systems is essential to be successful in this job. This position requires an extremely high level of confidentiality, excellent interpersonal, communication, and organizational skills, a proactive mindset, and an extraordinary level of customer service.
Core responsibilities include:
  • Preparing and submitting all employment actions for faculty, staff, adjuncts, and students for the full employee life cycle including position updates, postings, applicant tracking, hiring, onboarding, and terminations
  • Tracking, preparing, and submitting all pay-related actions for faculty, adjuncts, staff, and students
  • Maintaining up-to-date and accurate digital records and tracking documents in a confidential and yet shareable format for the appropriate managers
  • Creating and running reports as needed
  • Processing I-9s for all new hires and ensuring compliance with federal regulations; assisting international hires with the process of getting social security numbers and successfully completing all necessary steps to ensure they may work and be paid in a timely manner
  • Responding to general questions about pay, timesheet, or benefits issues and coordinating with University HR, Payroll, or Student Employment as needed to resolve issues
  • Integrating analytical and creative thinking to continuously improve processes

Conditions of Employment
  • The typical schedule is Monday-Friday 8:00am – 5:00pm.

  • This position is eligible for some remote work subject to approval and workload.

  • This is a non-exempt position, eligible to receive overtime in accordance with the Fair Labor Standards Act. This position may be subject to overtime and limited time off during high peak times, etc. as directed and approved by the supervisor.

Required Qualifications
  • High School Diploma or equivalent
  • Several years relevant administrative experience in a professional, demanding environment involving secure, confidential information
  • Experience using an HR-related information system and/or processing personnel-related transactions
  • Excellent interpersonal skills with a commitment to exceptional customer service and support and the ability to interact with a wide range of internal and external constituents
  • Excellent oral and written communication skills
  • A strong capacity to work independently with an affinity to develop solutions collaboratively with colleagues across the Law School and the University
  • Intermediate skills with MS 365 applications (Word, Excel, Outlook, TEAMS, and PowerPoint) and the ability to quickly learn new programs
  • Strong problem-solving and analytical ability
  • Strong organizational skills with the ability to carry out multiple competing and changing priorities within a deadline-driven environment
  • Detail oriented with good auditing skills
  • Ability to read and understand policies and follow procedures

Preferred Qualifications
  • Bachelor’s degree or some college-level work
  • Substantive experience with an HR information system or related data processing system
  • Experience supporting two (2) or more functional HR areas (e.g. Compensation, Benefits, Recruitment/ Employment)
  • Previous experience working for a VA state agency
  • Higher Education Experience
  • Experience establishing workflow processes and standards operating procedures (SOPs)
  • Experience with PeopleAdmin, Banner, Blackboard, Qlik, Qualtrics, Adobe Pro, and DocuSign or similar systems and applications
  • Experience with OneDrive and SharePoint
