Brief Summary of Work for this Position:
The Housing Key Control Coordinator is responsible for coordinating all key related processes and procedures in Housing and Residence Life. This includes key auditing, distribution, tracking, and replacement. The Coordinator responds to Key/lock related work orders submitted to HRL to assess the concern and involve the UNCW Physical Plant Security department as appropriate. The coordinator also helps maintain the condition of our housing facilities by performing general maintenance work as assigned. The Coordinator assists with the auditing of the HRL warehouse.
Responsibilities Include:
  • Manage access to all keys under the control of the Department of Housing and Residence Life (HRL)
  • Create and manage processes for assigning and collecting keys for HRL staff, residential students, and contractors working in the HRL facilities
  • Maintain and update HRL KeyTrac software system
  • Train additional staff on the KeyTrac system as necessary
  • Conduct regular key audits and generate audit reports for record keeping purposes
  • Serve as the primary liaison with the University Physical Plant Security department
  • Coordinate contact with University Physical Plant Security department and submit key/lock related work orders as needed
  • Stay up to date on all UNCW and UNC system key policies
  • Ensure HRL compliance with all applicable university key policies and processes
  • Provide training to HRL professional and student staff as needed
  • Serve as the primary internal auditor for the HRL warehouse and perform regular audits of the warehouse shelf stock
  • Perform general maintenance work in the residence halls as directed
  • Use various computer software/hardware systems to perform duties including KeyTrac, StarRez, WASP, Keystone and AiM

Minimum Education and Experience Requirements:


Graduation from high school or equivalent. Experience in the trade(s) areas related to the position's role may be substituted on a year-for-year basis.

Preferred Education, Knowledge, Skills & Experience :

  • Thorough knowledge of methods used in building maintenance, repair, and renovation
  • Ability to follow plans and schedules to meet deadlines and reach desired results
  • Ability to collaborate with residence life staff, physical plant staff, contract housekeeping staff, and outside contractors on related issues and projects
  • Ability to manage multiple tasks simultaneously
  • Strong customer service skills
  • Proficiency using computers and iPads and various software systems

The Department of Housing and Residence Life at the University of North Carolina at Wilmington houses approximately 5100 students in a combination of residence halls, suites, and apartments. In order to facilitate a positive living experience on the campus, a variety of staff are necessary to carry out the responsibilities. The Housing Key Control Coordinator is a full-time staff member of the Department of Housing and reports directly to the Assistant Director of Facility Operations for Housing and Residence Life. The Housing Key Control Coordinator is responsible for coordinating all key related processes and procedures in Housing and Residence Life. The coordinator also helps maintain the condition of our housing facilities by performing general maintenance work as assigned and assists with the auditing of the HRL warehouse.
