Job Summary

The Fellowship and Medical Educational Program Administrator for the Department of Pathology plays a critical role in the management of the department’s non-ACGME fellowships and elective pathology course programs for medical students. Duties will span across the both the undergraduate and graduate medical education programs in the Department.  For School of Medicine medical student teaching responsibilities will include management and coordination of the visiting medical student appointments, coordination of didactic educational sessions including facilitating website based updates and document management for the courses offered through Pathology, preparation of elective schedules for the rotating medical students in Pathology, and management of compliance with accreditation requirements, including coordination of internal and external program reviews.  The incumbent will also perform duties as the Department’s Medical Student Elective Coordinator and will assist with the support the Department’s overall medical education administrative needs along with the Residency and ACGME Fellowship coordinator.

The incumbent will also be responsible for the administrative management and oversight of the Department of Pathology’s non-ACGME fellowship training programs.  This includes the clinical, programmatic, institutional, accreditation, and administrative management of the programs.  Duties include but are not limited to: Non-ACGME fellowship management, database creation and maintenance; site visits; accreditation activities; qualitative and quantitative compliance reporting; maintain and update program policies and curricula; creating multisite and interdisciplinary rotation schedules per specific training program requirements; develop learner and program assessments; compile learner and program evaluation data for review committees; advise on training program administration policies; management of resource, payroll management; HR onboarding; recruiting and selection; appointments/credentialing/attaining clinical privileges; visa processing; Understanding of accrediting body and university policies, procedures and regulations pertaining to graduate medical education are a critical function of this role. Frequent collaboration with program directors, departmental leadership and the Graduate Medical Education Office is expected. The incumbent must be able to travel to various work sites on a regular basis.

Department Description

The Department of Pathology at UCSF aims to achieve the highest standards in patient care, research and education. The Department provides diagnostic pathology services in a wide variety of subspecialties with highly trained clinical and research faculty who are recognized nationally and internationally for their expertise. The Department’s research programs are diverse and interface with a wealth of basic and translational research programs that are a hallmark of UCSF. Our educational programs include a nationally recognized, research-intensive academic residency program and fellowships in cytopathology, dermatopathology, gastrointestinal and liver pathology, gynecologic pathology, neuropathology, molecular and genetic pathology, and surgical pathology.  The Department has locations throughout the city including Parnassus, Mission Bay, Mount Zion, the SF VA Medical Center and Zuckerberg San Francisco General Hospital, with over 70 faculty, 40 trainees, and a large number of research and administrative staff.


Required Qualifications

  • Bachelor's degree in related area and / or equivalent experience / training.
  • Minimum 3+ year of related experience; and / or equivalent experience / training.
  • Knowledge of the academic medical education field and its general operational requirements.
  • Analytical / problem-solving skills.
  • Strong skills in analyzing, researching and synthesizing large amounts of data for preparing sound and relevant proposals / analyses.
  • Ability to multi-task with demanding timeframes.
  • Actively cooperates and supports the work of others. Ability to work productively with anyone regardless of background. Empathetic and aware of impact on others. Strong problem solving skills to assist learners and resolve issues
  • Excellent organizational skills, analytical, and demonstrated attention to detail. Ability to complete work and meet established deadlines in an accurate and timely manner, and to manage short and competing deadlines.
  • Strong communication and interpersonal skills to communicate effectively, both verbally and in writing.
  • Ability to use discretion and maintain all confidentiality.

Preferred Qualifications

  • Master’s Degree in related area (Education, Science, Public Health, Business).
  • Experience utilizing project management methodologies and tools to ensure timelines and deadlines are met.
  • Experience with multiple computer-based education tools.
  • Strong policy analysis techniques.
