Overview:

The primary purpose of this position is to provide support to the Property Management Organization in the Facilities and Operations Directorate. The incumbent will perform a variety of administrative tasks under general supervision.

 

Major Duties and Responsibilities:

  • Ordering – includes purchase requisitions, office supply orders, credit card orders (online and telephone).  May also include research for needed items
  • Credit Card reconciliations (TMS database) and payments (Public Surplus, Uline, Crystal Springs, etc.)
  • Travel reservations and expense reports
  • Visitor passes in internal badging system
  • Print monthly cost reports for all accounts
  • Schedule meetings, including soliciting for agenda items and taking/distributing notes post-meeting
  • Screen all Shipping Orders processed at ORNL to identify property-related issues
  • Assists laboratory personnel with other personal property management activities as required, including inventories, records, transfers, disposal, etc.
  • Ensures inventories and records are completed and maintained in accordance with UT-Battelle practices and comply with DOE/GSA regulations
  • Performs duties utilizing provided technology, including barcode readers, printers, scanners, digital cameras, etc.
  • Updates accountable records in the Laboratory’s property database
  • Maintains electronic records for property by filing emails and scanning documents into the appropriate server locations
  • Performs property-related tasks for outside entities via agreements (MOUs, Work Authorizations, etc.) as requested
  • Utilizes SAP and MS Excel to prepare reports necessary for performance of duties and as requested by staff
  • Assists auditors in verification of government-owned property as needed
  • Provides support and back-up to other Property Management employees as needed

 

Basic Qualifications:

  • High school diploma with a minimum of two years of experience in either personal property management, inventory control, subcontracts, loans of property, or a related field. 
  • Must possess computer skills and have demonstrated efficiency with MS Office software. 
  • Requires a thorough working knowledge of compliance with multiple levels of policies and procedures (federal, state, local, company, etc.). 
  • Must have problem solving skills, the ability to handle multiple tasks simultaneously, and be capable of reviewing and analyzing data. 
  • Organization and attention to details is essential. 
  • Must have excellent communication and interpersonal skills, be flexible and perform a variety of tasks as needed with minimal supervision. 
  • Experience with electronic file maintenance is preferred.

 

Preferred Qualifications:

  • Experience with Electronic Records Management (ERM)
  • Advanced knowledge of Microsoft Excel operations

 

This position reports directly to the Property Manager.  Interfaces with others within the Property Management Organization, all Laboratory staff and other organizations as required (i.e. Isotek, DOE Site Office, CNS, etc.
