The Provost's Global Research Initiatives (GRI) programs support research-related activities: faculty and graduate student visits to the sites; dissertation workshops for doctoral students; funding for workshops and colloquia at the sites and at the New York campus; and housing for international visitors collaborating with NYU faculty. In Berlin, the GRI Program Assistant will be the on-site first contact person to visiting faculty and graduate students and will also provide operational support during summer dissertation workshops. Further, given the growing interest of NYU faculty to organize conferences and colloquia in Berlin, the GRI Program Assistant will serve as the local liaison coordinating venue reservations, logistics, etc.

 

The GRI Program Assistant position is a full-time position (40 hrs./week) at the GRI Research Institute within NYU Berlin’s Academic Center located in the Kulturbrauerei in Prenzlauer Berg, Berlin. This is a 2-year fixed term role with possibility of extension. Preferred start date: April 1, 2024.

 

Principal duties

 

  • Provide operational support for GRI faculty and graduate students (assistance with visa applications, city registration, housing, doctor’s appointments, establishing contacts with local universities, library services, etc.)
  • Organize dinners, receptions and other opportunities for GRI fellows to engage with NYU Berlin staff and lecturers as well as with faculty from local German universities for the purpose of familiarizing themselves with Berlin’s academia and exploring opportunities for research collaborations. Organize study breaks and outings for participants of the summer dissertation workshops.
  • Provide logistical support to workshops, events and other GRI programming as requested by the site Director and the Office of the Provost (booking of venues, accommodation & travel).
  • Assist in organizing alumni events as well as research focused workshops for fellows and undergraduate students, and in producing publications. Maintain office supplies, manage mail and email correspondence, provide phone support, etc. Update the website.
  • Coordinate visits of faculty, staff and other guests from New York and other Academic Centers by serving as a liaison.
  • Maintain contact with other GRI programs in London, Florence, Paris, and elsewhere as required, to ensure the smooth functioning of the site and integration of site operations with comprehensive university policies and procedures.


Required Education

  • Successful completion of a Bachelor’s Degree.

Required Experience

  • Previous experience living, working, or studying abroad (preferably in North America).
  • Experience in event organization or equivalent areas.
  • Experience in producing and editing texts in English (such as handbooks, newsletters, etc.).
  • Experience working in a research environment.

Required Knowledge, Skills, and Abilities

  • A valid work permit for Germany through the end of the contract.
  • Fluency in German and English.
  • Excellent intercultural and interpersonal communication skills.
  • Service excellence and delivery of high-quality solutions.
  • Strong ability to prioritize and multi-task with a creative approach to problem solving.
  • Genuine interest in getting to know a very diverse set of international students and faculty every semester.
  • Ability to organize and execute academic events for up to 100 participants.
  • High level of flexibility and attention to detail.
  • Strong sense of teamwork as well as the ability to work independently.
  • Ability to work on a few Saturdays per year.
  • Familiarity with presentation/classroom/office technology.
  • Familiarity with macOS, Microsoft Windows, Google Drive, and Microsoft Office.

Preferred Education

  • Successful completion of a Master’s Degree in the Humanities and Social Sciences.

Preferred Experience, Skills and Abilities

  • Previous experience working in an academic and service-oriented environment.
  • Previous experience living, working, or studying abroad.
  • Experience with Adobe Creative Suite.
