Primary Purpose of Position
This position is responsible for providing day-to-day financial and administrative support for the department’s grants and contracts. The Grants Support Specialist engages with faculty, staff, and other college-level staff, as well as with university-level offices to ensure the highest quality of post-award support and guidance.
Minimum Education/Experience
Required Minimum Qualifications:
High school diploma or equivalency and one year of experience in accounting work; or equivalent combination of training and experience.
University Preferred Qualifications:
High school diploma/GED, and three years of experience which includes accounting work. A two-year degree in business administration or accounting may be substituted for two years of experience.
Essential Job Duties
  • The position is responsible for all aspects of departmental post-award grant administration: Processing all grant-related personnel hiring, purchasing and travel.
  • Financial Management by facilitating and monitoring expenditures and budgets, assisting PI’s with the application of federal, state and private funding agency guidelines and terms and conditions; responsible for expense transfers; and assuring the accuracy of grant closeouts.
  • The position may serve as a backup for other like positions in the college including but not limited to purchasing, processing revenue receipts and requisition approvals.
Other Work Responsibilities
  • Financial management (reconciliation of grant funds, data entry into a shadow system, receiving/invoicing, budget revisions/justifications, recording and tracking cost-share, and release time tracking).
  • Purchasing (uses 49er Mart and p-card to secure all equipment (capital and non) and supply purchases, waiver of competition justification, equipment contracts).
  • Travel (prepare Travel Authorization/Travel Reimbursement for all externally funded travel for faculty, postdocs and students).
  • Hiring – responsible for grant-funded hiring and personnel-related issues for faculty (release time requests and summer pay), postdocs and student employment.
  • Assist the Principle Investigator with the interpretation of the agency’s guidelines and terms and conditions.
  • Be familiar with OMB Circular, and 2 CFR200.
  • Other duties, as assigned by College Business Officer.
Departmental Preferred Experience, Skills, Training/Education
  • Previous experience with accounting and financial management, in Higher Education is desirable.
  • Knowledge of Banner, 49er Mart, Niner Research, P-card, or similar University systems is desirable.
  • Professional experience managing and reconciling externally funded grants and contracts.
  • Knowledge of Microsoft Office (Excel, Word, Access). Strong written and verbal communication skills.
  • The ability to work with very careful attention to detail and deadlines is essential.
  • Demonstrated knowledge of reviewing, viewing and correcting complex information.
  • Completion or currently enrolled in the Certification in Grants and Contracts Administration Certificate program is desirable.
