The School of Arts and Humanities is a unique academic school at UC San Diego. The School of Arts and Humanities has nearly 200 senate faculty plus another ~180 non-senate faculty, over 100 non-student staff employees, 430 graduate students and over 200 student employees who occupy 318,979 of assignable square feet spanning 18 buildings across campus. Our undergraduate course enrollments exceed 50,000 annually with many of these students coming from other disciplines and majors across campus.

This is a professional position at the experienced level of the Research Administrator Series. The incumbent is an experienced professional who knows how to apply theory and put it into practice with in-depth understanding of the professional field; independently performs the full range of responsibilities within the function; possesses broad job knowledge; analyzes problems/issues of diverse scope and determines solutions.

Reporting to the School's Data and Business Officer, this position is responsible for the strategic coordination of all grant proposal development activities as well as complex post-award fiscal management for the School of Arts & Humanities (A&H). Uses skills as a seasoned, experienced research administrator to independently develop and / or oversee research proposals, awards and / or transactions related to contract and grant management and gift funds management. Maintains contract and grant records in compliance with institutional research sponsor policies and works on proposals and awards of diverse scope where analysis of data requires thorough understanding of complex regulations. Completes and approves transactions for signature by manager or other authorized institutional official. Works on complex proposals and awards that may involve multiple investigators and / or multiple sub awards.

In collaboration with the Assistant Dean for Strategic Engagement, the incumbent provides analytical and financial support in proposal processing, contract and grant administration, and budget development, including pre-award proposal initiatives, management of funds post-award, and closeout activities for federal, state, local, and private sponsors. Involves activities associated with forecasting, planning, and managing research portfolios by performing some or all of the following: coordinating, identifying, developing, and/or presenting proposals, contracts, and other agreements; reviewing proposals to ensure institutional compliance, negotiating, administering, and monitoring contract and grant awards, including compliance with regulations, terms and conditions; financial management and reporting, and sub-award/subcontract issuance and administration.

  • Demonstrated knowledge of Federal and non-federal agency requirements and regulations for sponsored research, from proposal preparation through close out, including but not limited to Cost Accounting Standards, OMBA 121, FDP policies, etc.

  • Thorough understanding of research administration guidelines of Federal and non-Federal sponsors supporting research and educational activities, preferably in a university environment.

  • Thorough knowledge of applicable compliance requirements related to use of human or animal subjects in research, financial conflict of interest, biosafety, etc.

  • Ability to manage significant volume of transactions.

  • Ability to perform complex financial analysis and customized reporting.

  • Demonstrated competence in the use of spreadsheet and database software in financial analysis, fiscal management and financial reports.

  • Ability to maintain independent judgment; strong organization and communication skills; and a customer service focus across broad and diverse subject areas.

  • Maintains current knowledge of compliance regulations in all areas of research administration.

  • Demonstrated knowledge of generally accepted accounting, fiscal and reporting principles. Knowledge and application of principles and practices of fiscal planning and analysis. Ability to analyze and prepare budgets, to identify spending patterns and project future expenditures based on a large quantity of data.

  • Theoretical knowledge of multi-disciplinary research in Arts & Humanities studies with a broad understanding of the disciplines, the research, their role in higher education, and the relationship it has with campus, multi-campus, and the community. Ability to apply theoretical knowledge in written communications that express content related to the disciplines.Knowledge of national and international trends in Arts & Humanities disciplinary research and staying abreast of research program evolvement.

  • Demonstrated skill in collecting cost data for large proposals, including salary information, large equipment aquisition and sub-award data. Preparing multi -year proposals with these elements.

  • Capacity for additional responsibilities/tasks; commitment to continuous process improvement to learn new and varied skills as needed for all aspects of position; willingness to try new procedures for speed, efficiency and innovative output.

  • Ability to maintain independent judgment; strong organization and communication skills; and a customer service focus across broad and diverse subject areas. Customer interaction/communication skills. Collaboration skills and experience explaining financial information, budgets, reports to others with diplomacy. Experience interacting with faculty/researchers/Principal Investigators or the ability to learn.

  • Excellent organizational skills; demonstrated ability to independtly work on projects with competing deadlines and to establish goals and workload priorities to meet established and variable deadlines; flexibility in dealing with people and competing demands.

  • Proven ability to work independently and productively as part of a group. Prioritization skills. Time management/deadline skills. Multi-tasking skills. Ability to work with a diverse group of individuals and abide by the University's Principles of Community.

  • Effective problem solving skills. Ability to identify problems and recommend actions to senior management and central campus administrators.

  • Proficiency in utilizing reports and queries through Financiallink, Cognos, and Tableau, and Oracle Cloud/Financial.

  • Job offer is contingent upon satisfactory clearance based on Background Check results.

Pay Transparency Act

Annual Full Pay Range: $67,200 - $119,600 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $32.18 - $57.28

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
