  • Responsible for working with faculty, postdocs and students to prepare research grants and fellowship applications to the NIH, other federal and state agencies, public and private organizations and foundations; including, but not limited to, budget preparation and preparing proposal packages for submission;
  • Provide all other post award functions including but not limited to tracking all spending and ensuring that spending is compliant with sponsor guidelines, approving expenses via ePRO and tracking billing, manage personnel salary distributions and effort including processing LOA’s as needed, act as department liaison to central administration;
  • Monitor all subcontracts from inception to final payment including identifing issues, i.e missing invoices and POs for all PIs;
  • Reconcile/ track all expense activity on sponsored funds (federal grants, foundation and NYS contracts) within the department across all accounts totaling ~$43 million.
  • Independently and proactively forecast and manage accounts, providing post-award financial management of grants and contracts, including on-going tracking of budget-to-actual and projected expenditures.
  • Track grant deadlines, progress report due dates and other deliverable schedules;
  • Compile and maintain detailed reports on submitted, active and pending grants;
  • Prepare monthly summary report of grant submissions and outcomes in conjunction with assistant administrator to department administrator;
  • Conduct monthly internal audits of grants and contracts to ensure accuracy and compliance.  Confer with Sponsors and Research Finance and department administrator in closing out accounts, resolving budgeting and compliance issues.
  • Meet regularly with investigators to provide financial projections, address any concerns, unobligated balances and/or deficits, provide any other type of information regarding overall grant management.
  • Oversee the database of all active human research study protocols and all animal research protocols.
  • Monitor and disseminate information to PIs concerning guidelines and regulations for grant applications including eligibility, use of human subjects, animals, changes in forms, etc.;
  • Disseminate funding opportunities to faculty and research staff;
  • Prepare changes of effort and funding documentation/requests to assist DA and ensure accuracy and proper distribution of funds and effort across all sponsored funding sources.
  • Work with department administrator to provide budgetary and grant-related information to Research Finance and other departments as needed.
  • Work with the Department Administrator to assure customer service and smooth flow of financial data and information


  • A BA/BS in business administration or other related field is required or equivalent combination or education and experience.
  • Minimum 2-3 years prior related experience in the pre- and post award function, specifically with NIH.
  • Experience in grant and contract financial management in a research environment is strongly preferred.

The Grants Administrator is responsible for the preparation, submission, pre-award and post-award management of extramural grants for the department of Genetics.

The Department of Genetics is a research/graduate educational component at Einstein, which currently involves managing about 50 external awards annually, including 4 multi-project grants representing 13 Principal Investigators and about $43 million in sponsored funding.
