Job Description

The Opportunity:  

The Office of Sponsored Research Administration is recruiting a Pre-Award Grant Administrator to manage pre-award activities for an assigned portfolio of federal, state, and private grants.

This position serves as a trusted partner with principal investigators, providing guidance and ensuring compliance with government, sponsor, and internal policies and procedures throughout the pre-award process until handoff to the post-award team.  The incumbent will, inter alia, develop budgets and budget justifications, manage cost share requirements and subrecipient protocols, and submit proposals on behalf of the university. The University is willing to consider alternative work arrangements, including a remote option, for candidates with a minimum of one year of pre-award grant in higher education and proficiency with the Research.gov, NSPIRES, and Grants.gov federal grant management systems.



Proposal development responsibilities include:

  • Provide guidance and support to principal investigators regarding proposal requirements, compliance matters, and submission protocols.

  • Liaise with principal investigators, university department colleagues, collaborating sponsored research administrators, and external representatives throughout the pre-award process until handoff to the post-award team providing clear and concise communication to all stakeholders.

  • Manage cost share and subrecipient review and procedures.

  • Ensure that all ERAU information included within the proposal is accurate and complete.

  • Perform compliance review of all proposals for adherence to university, sponsor, and federal requirements.

  • Serve as university authorized organizational representative and submit proposals in compliance with sponsor guidelines.

  • Negotiate acceptable terms to finalize awards.


Management and administrative responsibilities include:

  • Track proposal progress and meet deadlines for assigned proposals.

  • Maintain complete and accurate files of grant proposal activity.

  • Input complete and accurate electronic data into the university system.

  • Coordinate the acceptance of new awards.

  • Negotiate terms and conditions of awards when applicable.

  • Review award instrument for university acceptance.

  • Coordinate other activities, special reports, projects, and other related duties as assigned.

  • Raise potential concerns involving grant budgets, administration, compliance issues and other key issues regarding grant administration and compliance.

  • Recommend improvements to internal processes and practices and work collaboratively with the team to make changes.

Qualifications
Required qualifications:

  • Minimum one year pre-award grant experience in higher education or three years working in highly regulated financial or technical role.

  • Experience with NSF, NASA, and other federal sponsors.

  • Proficiency with grant management systems, including Research.gov, NSPIRES, and the Grants.gov Workspace.

  • Bachelor's degree.

  • Working knowledge of grant-related laws, regulations, and policies.

  • Proficiency with Excel and budget development.

  • Excellent attention to detail, outstanding customer service, and impeccable communication skills.

  • Ability to manage a high volume of work and competing deadlines in a fast-paced, deadline-driven work environment with frequent interruptions and changing and competing priorities.

  • Excellent interpersonal skills and proven experience working both independently and as an effective team member.

  • Suitable oral and written communication skills and discretion in dealing with sensitive and confidential information.


Preferred Qualifications:

  • Pre-award management experience and/or demonstrated experience with managing multi-part contracts or technical documents.

  • Familiarity with federal sponsors who support aeronautical research.

  • Master's degree.

  • Exposure to virtual meeting applications such as Teams and Zoom.

  • Demonstrated experience researching, analyzing, and solving problems.

  • Ability to develop new systems or procedures to resolve problems and facilitate workflow.

  • Analytical skills with an in-depth knowledge of information systems and technical expertise with Microsoft operating systems, Access, Excel, PowerPoint, Word, Outlook/email, and Internet end-user applications.

  • Familiarity with business systems that hold financial and administrative information, such as Workday.
